Qualifications

Responsibilities

  • Schedule and oversee outbound shipments for timely delivery.
  • Compare carrier options, monitor performance, and optimize costs.
  • Prepare and verify BOLs, labels, and international documents.
  • Verify shipment data (weight, HS codes, addresses) for accuracy.
  • Coordinate pickups with customers and carriers; update customers with ETAs.
  • Respond to shipping inquiries and resolve issues, including OS&D.
  • Serve as main contact for customer interfacing and in-person pickups.
  • Coordinate reverse logistics for returns per company policy.
  • Maintain records of shipments, returns, tracking numbers, and costs.
  • Collaborate with sales, production, inventory, and purchasing to align schedules.

Job description

A Shipping Coordinator is responsible for the efficient and accurate flow of finished goods out of an organization, as well as the processing of returns through the Return Merchandise Authorization (RMA) process. This combined role focuses on both forward logistics (shipping finished goods) and reverse logistics (handling returned items). The Shipping Coordinator is a critical link in meeting customer expectations and achieving revenue growth targets.

Job Responsibilities
  • Schedule and oversee the preparation and dispatch of all outgoing shipments to ensure timely and accurate delivery to customers.
  • Compare carrier rates, transit times, and coverage to select the most cost-effective option for each shipment, and monitor carrier performance (on-time delivery, damage rates) to select carriers accordingly and support ongoing carrier reviews.
  • Generate and verify all necessary documentation of outgoing shipments, including Bill of Ladings (BOLs), shipping labelsand any customs documents for international shipments, ensuring accuracy throughout.
  • Verify that all shipment data (including freight class, HS codes, weight, dimensions, and addresses) is accurate for each shipment, using data provided or researching as needed, to prevent overcharges, delays, or customs issues.
  • Arrange pickups with customers, carriers and freight companies when applicable and ensure adherence to shipping schedules for both outbound and return shipments.
  • Provide shipping updates and estimated delivery times to customers. Address any shipping-related inquiries and proactively resolve issues, such as delays, discrepancies, or overage, shortage, and damage (OS&D), for both outbound shipments and returns.
  • Serve as a point of contact for customer interfacing and communication, including receiving, assisting, and escorting customers to pick up their orders in person.
  • Coordinate reverse logistics for returned goods, whether for repair, replacement, or refund. This includes tracking return status and ensuring adherence to company return policies and procedures.
  • Arrange for the pickup or drop-off of returned items with customers or carriers and ensure the efficient and on-schedule movement of products back to the warehouse or designated processing center.
  • Maintain accurate records of all outbound shipments and returned items, including tracking numbers, delivery confirmations, return authorizations, and costs, for reporting and reconciliation.
  • Work closely with sales, production, inventory, and purchasing to align shipping schedules and product availability. Maintain clear communication to prevent bottlenecks, increase customer satisfaction, and keep track of all orders in back log.
  • Other duties as assigned by supervisor.
Qualifications
  • 1-2 years of experience in shipping, logistics, or customer service is preferred.
  • Previous experience in shipping, logistics, or a related field, particularly with an understanding of reverse logistics and RMA processes, is highly valued.
  • Excellent communication and interpersonal skills (written and verbal), strong organizational and time management skills, attention to detail, and the ability to solve problems effectively in a fast-paced environment are crucial.
  • Familiarity with computer systems. CRM experience is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with shipping software, inventory management systems, and ERP systems are essential.
  • Bilingual is a plus.
Physical Requirements
  • Ability to sit and use a computer for extended periods.
  • Ability to stand and walk throughout office and warehouse areas.
  • Occasionally lift, carry, push, or pull up to 25 pounds.
  • Occasionally bend, stoop, kneel, crouch, and reach.
  • Ability to visually inspect products, labels, and shipping documents.
  • Ability to work around noise, temperature changes, and moving equipment.
  • Ability to wear required personal protective equipment.
