Aerotek is seeking a Shipping and Receiving Coordinator to manage daily and forward-looking shipment schedules, coordinate material readiness, and ensure accurate documentation in a busy fabrication yard environment.

The role interfaces with shop operations, logistics partners, and internal teams to support on-time production and deliveries while maintaining safety and traceability of materials.

Qualifications

• Two or more years in shipping, receiving, logistics, warehousing, or related field.
• Experience with purchase orders, bills of lading, packing lists, and material IDs.
• Experience with structural steel, fabrication, heavy manufacturing.
• Proficient with ERP, MRP, and inventory/transport platforms.
• Strong communication and documentation skills.

Responsibilities

• Plan and maintain daily and forward-looking schedule for outbound shipments and incoming deliveries.
• Coordinate with shop leadership to ensure material readiness and loading before shipment.
• Prepare and verify all shipping documentation (bills of lading, delivery tickets, packing lists, load lists).
• Receive steel, fabricated components, fasteners, consumables, equipment, and supplies; verify deliveries against POs and packing slips.
• Document shortages, damage, incorrect material, delays, and schedule conflicts promptly.
• Enter receipt and shipment information into company systems and maintain accurate records.
• Coordinate safe loading and unloading with drivers and equipment.
• Maintain orderly staging, storage, and traffic areas for efficient material flow.
• Support inventory checks, cycle counts, and process improvements.
• Collaborate to ensure material traceability and correct delivery sequencing.
• Adapt to changing production or delivery plans while staying accurate and safe.
• Communicate clearly with stakeholders to align schedules and resolve issues.

Job Description

The Shipping and Receiving Coordinator oversees the daily and forward-looking schedule for outbound shipments and incoming deliveries, ensuring materials move safely, accurately, and efficiently through a busy fabrication and yard environment. This role serves as a key link between shop operations, logistics partners, and internal stakeholders by coordinating material readiness, documentation, and system updates to support on-time production and delivery.

Responsibilities

• Plan, organize, and maintain the daily and forward-looking schedule for outbound shipments and incoming deliveries.


• Coordinate with shop leadership to confirm fabricated material is complete, released, properly identified, staged, and ready to load before shipment.


• Prepare and verify all shipping documentation, including bills of lading, delivery tickets, packing lists, load lists, destinations, appointments, quantities, piece marks, weights, and special jobsite requirements.


• Receive steel, fabricated components, fasteners, consumables, equipment, and supplies, and verify deliveries against purchase orders and packing slips.


• Document and communicate shortages, damage, incorrect material, late deliveries, and schedule conflicts promptly to prevent operational disruptions.


• Enter receipt and shipment information into company systems and maintain accurate, organized records, including proof of delivery.


• Coordinate safe loading and unloading activities with drivers and authorized forklift, crane, rigging, and shop personnel.


• Maintain orderly staging, storage, and traffic areas to support efficient material flow and safe operations.


• Support inventory checks, cycle counts, and process improvements that reduce rehandling, damage, delays, and transportation costs.


• Collaborate with internal teams to ensure material traceability, accurate identification of fabricated pieces, and proper delivery sequencing.


• Adapt to changing production or delivery plans by reprioritizing tasks while maintaining accuracy and safety.


• Communicate clearly with internal and external stakeholders to align schedules, resolve issues, and support on-time deliveries.

Essential Skills

• Two or more years of experience in shipping, receiving, logistics, warehousing, material control, manufacturing, construction, or a related field.


• Experience working with purchase orders, bills of lading, packing lists, delivery documents, quantities, and material identification.


• Experience in structural steel, miscellaneous metals, fabrication, construction materials, or heavy manufacturing.


• Experience with an ERP, MRP, inventory, or transportation platform.


• Working proficiency with email, spreadsheets, shared schedules, data entry, and ERP, inventory, or logistics systems.


• Familiarity with load planning, material traceability, fabricated-piece identification, and delivery sequencing.


• Forklift, overhead crane, rigging, or other material-handling experience, with willingness to obtain company training and authorization before operating equipment.


• Strong attention to detail, organization, and follow-through to ensure accurate documentation and material handling.


• Effective communication skills to document issues, coordinate schedules, and work with drivers, shop personnel, and internal teams.


• Ability to remain composed, solve problems, and reprioritize quickly when production or delivery plans change.


• A safety-first mindset and comfort working in an active fabrication shop and outdoor yard environment.

Additional Skills & Qualifications

• High school diploma or GED, or an equivalent combination of education and relevant experience.


• Experience using Tekla or similar systems in conjunction with ERP or inventory platforms.


• Hands-on experience with inventory control, shipping and receiving, and general inventory management.


• Comfort working with structural steel, construction materials, or heavy manufacturing processes.


• Ability to collaborate with cross-functional teams in shop, yard, and office settings.


• Capability to lift or move items weighing up to 50 pounds with or without reasonable accommodation.
