Job description

The Douglas County Sheriff's Records Division is seeking an individual to join their skilled team in performing the varied duties related to the management and use of law enforcement records. The ideal candidate for the Sheriff's Records & Licensing Technician is an individual with strong customer service skills, a commitment to ensuring confidentiality, and a desire to serve the public while providing efficient, accurate, high-quality work.

Primary Objectives

Performs intermediate work providing a wide variety of technical, or specialized office support duties related to the review, preparation and input of various police reports; responding to public requests and inquiries in regard to police reports, records and licensing; performs related tasks as apparent or assigned.

  1. Assists general public, customers and staff in person, over telephone and by email; answers inquiries, provides general direction related to services, receives and attempts to resolve complaints, explains policies, procedures and proper use/completion of department forms.
  2. Receives, processes and conducts a variety of criminal history investigations for licensing purposes to include Liquor Licenses, Concealed Weapons Licenses, Traveling Merchant Licenses, Sex Offender and Felon registrations.
  3. Organizes, compiles and reports statistical data on functions, programs and activities.
  4. Processes, codes, and disseminates crime reports, traffic accidents, citations, and related documentation; creates NCIC folders and files accordingly.
  5. Processes report and disposition requests for Child and Family Services, Brady background, background history letters, insurance requests, requests from the public, other law enforcement agencies, etc.
  6. Receives, processes and conducts a variety of criminal history investigations, registrations and applications; checks documents for validity and accuracy.
  7. Runs daily reports, maintains and balances cash drawer and files daily deposits.
  8. Scans documents as required; identifies records for destruction in accordance with pre‑determined retention and destruction schedules; files and maintains records.
  9. Ensures accurate reporting and correction of criminal records with State Repository.
  10. Sends DUI revocation and suspensions to State DMV.
  11. Provides fingerprinting services as requested.
  12. Complies with court‑ordered criminal record sealing by printing and maintaining the record in a secure file; deletes and purges records from computer systems as required; disseminates required compliance notifications to appropriate agencies.
  13. Enters and retrieves data and prepares reports using a variety of software programs; reviews such reports for accuracy and makes corrections as required; operates standard office equipment.
  14. Acts as receptionist and receives and screens visitors and telephone calls and directs the caller to the proper person or personally handles the call; provides information which requires the use of judgment and interpretation of policies, rules and regulations.
  15. Operates standard office equipment, including word processors, computers, facsimile equipment and central telephones; may operate microfilm, radio, telephone and other departmental‑specific equipment after training.
  16. Contributes to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and directing or participating as an active member of a work team.
  17. Represents the County with dignity, integrity, and a spirit of cooperation in all relationships with staff and the public.
  18. Contributes effectively to the accomplishment of team or work unit goals, objectives, and activities.
MINIMUM QUALIFICATIONS
  • High School diploma or GED and one (1) year of general administrative support experience; OR an equivalent combination of education, training and experience.
CERTIFICATIONS /LICENSES
  • NCIC/NCJIS certification within six (6) months of date of employment
