Job description

Under general supervision, to learn to perform a variety of office assistance and law enforcement support duties in the maintenance of Sheriff Department records and reports; to learn to enter crime reports into a computerized system; to maintain crime index and case files; to respond to information requests from the public; to learn to process warrants; to perform general office support assignments; and to do related work as required.

(The following is used as a partial description and is not restrictive as to duties required.) {Many of the assignments listed below are performed in a training and learning capacity with the expectation that an incumbent will develop the capacity to perform the full scope of work with minimal guidance and supervision}

Receives and processes crime and incident reports, warrants, and enters information into a computer system, ensuring accuracy; maintains and updates detective case files; registers sex offenders and prepares files for annual update, maintaining public information media in accordance with legal requirements; prepares insurance company reports as requested by the public; collects monies for reports issued and maintains receipt records; transcribes information and prepares reports for sworn officers, as needed; maintains and updates crime index logs; fulfills background information requests and maintains files for other law enforcement and public agencies; operates the CLETS system to enter and access information; complies mandated state and federal statistics on a monthly basis; performs fingerprinting for the general public; processes warrants; receives a variety of public information requests, providing information and/or routing requests to other appropriate Department staff; distributes reports to other law enforcement agencies; reviews data requests and retrieves information from various data bases; contacts other appropriate law enforcement agencies pertaining to warrants, and disposition of charges; indexes, selects, cross-references and arranges records, documents, and correspondence in a variety of files and computerized information systems; verifies the proper recording of documents; use considerable discretion in determining priority of responses to requests and transferring data to other agencies.

  • Learn the operating policies, procedures, and functions of the Trinity County Sheriff Department.
  • Learn the laws, codes, and regulations related to Sheriff records and reports.

  • Understand and follow oral and written directions.
  • Read, analyze, and interpret laws, codes, rules, and regulations.
  • Evaluate situations and respond appropriately.
  • Use a computer keyboard to enter and extract a variety of data and information.
  • Perform a variety of office support work.
  • Deal tactfully and courteously with the public and other staff.
  • Establish and maintain cooperative working relationships.
Training and Experience:

Any combination of training and experience which would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the required knowledge and abilities would be:

  • One year of office support work experience in a position having substantial public contact.

TYPICAL PHYSICAL REQUIREMENTS

Sit for extended periods; normal manual dexterity and eye-hand coordination; lift and move objects weighing up to 25 lbs.; corrected hearing and vision to normal range; verbal communication; use of office equipment, including computer, telephone, calculator, copiers, and FAX equipment.

TYPICAL WORKING CONDITIONS

Work is performed in an office environment; may deal with unusually hostile people; continuous contact with other staff and the public.

DISTINGUISHING CHARACTERISTICS

This is the entry and first working level in the Sheriff Records Technician class series. Incumbents learn to maintain Sheriff Department records and reports. Sheriff Records Technician I's perform many assignments in a training and learning capacity. When an incumbent becomes familiar with Sheriff Department records and computer systems and Department policies, and demonstrates good sustained work performance, they may be promoted to the Sheriff Records Technician II level.

REPORTS TO

Sheriff Sergeant or Sheriff Records Technician III.

CLASSIFICATIONS SUPERVISED

This is not a supervisory class.

DISASTER SERVICE WORKER

In addition to our everyday duties, we have an added responsibility to help in a declared disaster. Under California law, all public employees are Disaster Service Workers and may be called upon in the event of a disaster. The roles and responsibilities for Disaster Service Workers are authorized by the California Emergency Services Act and are defined in the California Government Code 3100-3102; Labor Code 3211.92(b).
