Job summary

Austin Telco Federal Credit Union is seeking a Collections Support Administrator to coordinate repossessions, handle collateral liquidation, and maintain accurate loan records from our Austin, TX location. You will work with vendors and internal teams to support collections operations and ensure compliant processes.

The role emphasizes timely resolution of delinquent accounts, strong organization, and attention to detail in administrative duties within a community-focused credit union

Qualifications

• High School Diploma or equivalent.
• Minimum of 6 months of experience in a financial institution, collections, or administrative role.
• Strong organizational skills and the ability to manage multiple administrative tasks independently.
• Proficiency with Microsoft Office products and general office equipment.
• Ability to handle sensitive financial information with a high degree of accuracy and confidentiality.
• Prior experience specifically in vehicle repossession processing or collateral liquidation.
• Familiarity with auto auction platforms and valuation tools.

Responsibilities

• Monitors daily follow-up of loan accounts in repossession/charge-off phase.
• Ensures repossession policies and regulations are followed prior to auction disposal.
• Assigns vehicles out for repossession.
• Requests titles for repossessed vehicles and completes affidavits.
• Sends notices to members (e.g., Notice of Intent to Sell) and handles deficiency calculations.
• Assists with preparation of loan documents for scanning.
• Tracks collateral in auto auction platforms to ensure timely sale.
• Conducts routine visits to local auctions to evaluate vehicles.
• Prepares vehicles for sale at auction, sets minimum floor price, and coordinates transport.

This role supports the timely resolution of delinquent accounts through administrative coordination, vendor communication, and repossession and charge-off file maintenance.

What You'll Do Collections & Repossession Support

• Monitors consistent daily follow-up of loan accounts in repossession/charge off phase.
• Ensures all repossession policies, procedures, and regulations have been followed prior to assigning any repossessed collateral to auction for proper disposal.
• Assigns vehicles out for repossession.
• Requests titles for vehicles assigned out for repossession and complete repossession affidavits.
• Send appropriate letters to members once vehicle is repossessed, such as Notice of Intent to Sell, personal property, and calculation of deficiency.
• Assists with preparation of loan documents for scanning.
• Assigns all repossessed collateral to appropriate auction after their legal sale date.
• Track collateral in auto auction platforms to ensure timely and effective sale.
• Make routine visits to local auction to evaluate vehicles.
• Prepare vehicles for sale at auction upon expiration of repossession notification letter including determining the value of the vehicle, notifying the appropriate auction of the minimum floor price, and inform transport agents when vehicles need to be taken to auction.

Vendor & Member Support

• Utilizes telephone and email contact with vendors as pertains to repossessed loan accounts.
• Provide consistent exceptional service to internal and external members.
• Refers and/or confers with AVP of Collections (daily) on any problem accounts.

Claims, Products & Account Maintenance

• Files and maintain accurate records pertaining to all types of claims.
• Manage backend cancellation products: Gap/Service Warranty/Other

Compliance & Administrative Support

• High School Diploma or equivalent
• Minimum of 6 months of experience in a financial institution, collections, or administrative role (internal candidates who meet performance standards may be considered in lieu of specific department experience)
• Strong organizational skills and the ability to manage multiple administrative tasks independently
• Proficiency with Microsoft Office products and general office equipment
• Ability to handle sensitive financial information with a high degree of accuracy and confidentiality
• Prior experience specifically in vehicle repossession processing or collateral liquidation
• Familiarity with auto auction platforms and valuation tools
