Job Summary

The Service Writer is primarily responsible for generating documentation and billing for service repairs. This includes invoicing, quoting, warranty, and other items required for the repair. The Service Writer also answers phone calls and contacts customers regarding repair status.

Duties And Responsibilities

  • Answer phone calls and assist customers with questions about their repair.
  • Enter descriptions and ensure work orders are properly coded.
  • Process work orders and generate invoices.
  • Coordinate with parts departments to ensure technicians have what they need to complete repairs.
  • Check units in and out of the shop according to company policy.
  • Update repair and customer statuses in the system.
  • Provide customers with updates, estimates, and inspection results promptly.
  • Assist Service Manager with warranty and manufacturer-related paperwork.
  • Complete and file Bobcat Arrival Condition Reports.
  • Assist in collecting and processing customer payments.
  • Perform other duties as assigned by the Service Manager.

Required Skills And Abilities

  • Proficiency in basic computer skills and operation of standard office equipment.
  • Excellent customer service skills, including listening, inquiry, and problem-solving.
  • Ability to work courteously and effectively with a variety of personalities.
  • Ability to work independently with minimal supervision.
  • Competent in operating compact industrial equipment.
  • Detail-oriented, analytical, and capable of producing precise work.

Education And Experience

  • High school diploma or equivalent.
  • Experience in customer service, answering phones, and paperwork preferred.

Physical Requirements

  • Ability to bend, stretch, kneel, stand, lie, and squat for inspections.
  • Ability to lift and pull 40 lbs. regularly and up to 75 lbs. occasionally.
  • Visual acuity to inspect equipment and identify defects.
  • Good hearing to test sounds and assess equipment functionality.
  • Ability to work safely in noisy, odorous environments.
  • Capable of performing physical duties required by the role.
