Job summary

Castongia Tractor is seeking a Service Department Assistant to support the service manager with reporting, scheduling and customer communications in a busy dealership.

Ideal candidates have 5+ years related experience, strong writing and people skills, and the ability to manage multiple tasks in a team environment. The role is based in De Motte, Indiana with on-site work expectations.

Qualifications

• 5+ years work related experience.
• Previous supervisory or management experience preferred but not required.
• Ability to write and work on routine reports and correspondence.
• Ability to speak effectively one on one or before groups of customers or employees of the organization.
• Ability to negotiate customer complaints to a satisfactory resolution.
• Ability to define problems collects data, establish facts and draw valid conclusions.
• Computer skills
• Strong organizational skills

Responsibilities

• Assist in answering phone calls for service.
• Assign jobs and work areas to techs according to their skill, knowledge and level of expertise under the direction of Service Manager.
• Inspect customer machines after repairs to ensure customer satisfaction when returned.
• Assist technicians in machine diagnostics as needed.
• Assist technicians in DTAC case creation.
• Write up work orders and open work orders as needed.
• Keep techs productive and working.
• Ensure techs keep shop cleaned and organized.
• Ensure service vehicles are maintained.
• Keep schedule board updated daily.
• Maintain service counter schedule pad daily and complete before next day’s business.
• Issue purchase orders for outside supplies and repairs and submit bills for processing.
• Maintain and monitor special tool inventory.
• Provide estimates to customers for repairs when requested.
• Keep customers informed of status and costs of repairs.
• Contact customers for authorization of additional repairs.
• Collaborate with service manager in all aspects of the service department.
• Promote loyalty and customer goodwill and protect dealership image.
• Inform service manager of customer complaints.
• Meet daily with service manager to review department performance.
• Perform other duties as directed by Service Manager.
• Duties as assigned by management.

Purpose
