Position Summary
The Service Writer will maintain accurate and timely reports and records related to the service department operation. The individual will ensure all charges related to work orders are posted properly and closed promptly. Vendor invoices will be filed and provided to AP with proper supporting documents as received.
Duties & Responsibilities
- Open work orders as directed by the Service Manager and maintain control until closed and invoiced.
- Handle repair order charges, warranty validation & claims coverage, calculating charges, submission, and follow-up.
- Create and track purchase orders as directed.
- Keep updated on changes to PO amounts and other info, and provide to AP.
- Develop cost estimates.
- Track repairs, their causes, schedule technicians, and process warranties.
- Maintain a clean and safe work area; care for shop tools and equipment assigned to technicians.
- Operate equipment safely.
- Follow all safety rules and regulations.
- Handle service department filing and records.
- Update customer profiles using equipment, hours, or other info from work orders.
- Maintain accessories and supplies; prepare replacement orders for approval.
- Assist in handling customer complaints and concerns.
- Track damaged equipment and ensure issues are corrected.
- Estimate repair times and schedule technicians accordingly.
- Greet customers courteously and promptly.
- Perform other duties as assigned.
Requirements
Qualifications & Skills
- Good communication and customer service skills.
- Effective written communication skills.
- Experience in a service department.
- Ability to produce routine reports and correspondence.
- Negotiation skills for customer complaints.
- Experience with dealership or point of sale computer systems.
- Good computer skills.
- Knowledge of office procedures.
- Organizational skills.
- Basic understanding of mechanical/technical terms.
Education & Experience
- High School Diploma or equivalent.
- Equipment service and maintenance experience preferred.
License & Certification
- Valid Driver’s License with acceptable driving record.
Working Conditions
Work is performed in an office, equipment shop, or job site environment. Expect noise, fumes, and chemicals typical of a shop environment.
Physical Requirements
- Prolonged sitting and working on a computer.
- Lift up to 50 pounds.
- Climb on/off heavy mobile equipment safely.
- Walk on uneven surfaces in various weather conditions.
- Regular and predictable attendance required.
