Job summary

RPM xConstruction, LLC, a Texas-based design and construction firm, is seeking a Service Representative to manage fleet repair work orders and related admin tasks.

You will process invoices, track service progress, and keep internal teams informed, while ensuring accurate paperwork and timely communications across shop and field operations. Prior experience in office settings and proficiency with Microsoft Office are valued.

Qualifications

• High School diploma or equivalent required.

• Proficient with Microsoft Office (Word, Excel, Outlook).
• Experience with Viewpoint is preferred but not required.
• Bilingual in English and Spanish preferred but not required.

Responsibilities

• Process and manage In-Box paperwork daily, including open/maintain scheduled work orders, invoices, parts returns, and time sheets.
• Code vendor invoices promptly for the accounting department.
• Enter vendor invoices into internal work orders and attach mechanic notes daily.
• Summarize mechanic notes for records including cause, complaint, and correction.
• Ensure labor notes align with labor sheets and update inventory by deducting parts returns from open orders.
• Obtain Purchase Orders on jobs where required.
• Coordinate with Shop and Field Supervisors to keep work flowing and inform internal customers of progress.
• Open, process, and close work orders daily and report down equipment.

The Service Representative is responsible for managing all fleet repair work orders and related administrative functions. This position ensures accuracy and timeliness in processing vendor invoices, tracking service progress, and maintaining internal communication between departments.

Duties and Responsibilities

• Processing paperwork from In-Box daily:
  • Open and maintain scheduled work orders daily
  • Invoices
  • Parts returns
  • Time Sheets
• Coding vendor invoices in a timely manner for the accounting department
• Keying vendor invoices into internal work orders
• Interpreting and entering mechanic notes daily for field jobs & shop when needed
• Summarize mechanic notes for records (cause, complaint, correction)
• Ensure labor notes, etc. are correct from the labor sheets
• Deduct parts returns from open work orders as submitted to maintain accurate inventory.
• Obtain Purchase Orders from purchasing on jobs where one is required.
• Other activities as directed by the Shop and Field Supervisors with any needs they have, parts transfers, etc.
• Open, process and close work orders daily and report down equipment daily.
• Work with Svc Manager to keep work flowing and internal customers apprised of progress

Minimum Knowledge, Skills and Abilities Required

• High School degree required or equivalent experience.
• Demonstrates solid communication, customer service skills, and verbal/written skills with all levels of company personnel and outside vendors/suppliers.
• Demonstrates a high level of organization and attention to detail.
• Ability to multitask, problem-solve, and make quick decisions in the event of unforeseen situations.
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Experience with Viewpoint software is preferred but not required.
• Bilingual in English and Spanish is preferred but not required.
