Job summary

MIXACO USA LLC in Greer, SC is seeking a Service & Operations Manager to oversee quotations, service orders, invoicing, inventory, and logistics for domestic and international shipments. You will coordinate with MIXACO Germany and support payroll, travel, and ERP improvements.

The role requires strong organizational skills, experience in office administration, and proficiency with MS Office; ERP or inventory software experience is a plus, with German language being advantageous.

Qualifications

• Proficiency with Microsoft Office (Outlook, Excel, Word) is required.

Responsibilities

• Prepare and process customer quotations, service orders, and invoices for service and spare parts.
• Handle customer inquiries, monitor open orders, and coordinate with MIXACO Germany.
• Coordinate warehouse activities, inventory records, incoming goods, and spare parts replenishment.
• Organize domestic and international shipments, including packaging, freight coordination, and shipping documents.
• Enter and maintain invoices, receipts, and financial records in ERP systems.
• Prepare accounting documentation for external accounting provider.
• Support payroll administration, employee expense reports, and reimbursements.
• Coordinate employee travel (flights, hotels, rental cars).
• Handle general office administration, calls, and business correspondence.
• Assist ERP implementation and process improvements.

Key Responsibilities

• Prepare and process customer quotations, service orders, and invoices for service and spare parts.


• Handle customer inquiries, monitor open orders, and coordinate order-related activities with MIXACO Germany.


• Coordinate warehouse activities, inventory records, incoming goods, and spare parts replenishment.


• Organize domestic and international shipments, including packaging, freight coordination, and shipping documentation.


• Enter and maintain invoices, receipts, and financial records using the company’s designated accounting or ERP systems.


• Prepare and organize accounting documentation for our external accounting provider.


• Support payroll administration, employee expense reports, and reimbursements.


• Coordinate employee business travel, including flights, hotels, and rental cars.


• Handle general office administration, phone calls, and business correspondence.


• Support the implementation of ERP systems and improvements to internal business processes.

Qualification

• High school diploma or GED required; additional education in business administration, accounting, or a related field is a plus.


• Experience in office administration, customer service, order processing, or operations support.


• Strong organizational skills and excellent attention to detail.


• Proficiency in Microsoft Office, particularly Outlook, Excel, and Word.


• Experience with ERP, accounting, or inventory management software preferred.


• Basic knowledge of invoicing, financial administration, or bookkeeping processes.


• Strong communication skills and a professional, customer-focused attitude.


• Ability to work independently, manage multiple priorities, and collaborate with international teams.


• Experience in manufacturing, industrial equipment, or spare parts operations is a plus.


• German language skills are a plus but not required
