Job summary

HOLT Truck Centers is seeking a Service Department Administrator for the Houston Loop location. You will provide administrative and operational support to the Service Department, coordinating repair orders, scheduling, documentation, and billing as needed while supporting service advisors, technicians, and parts personnel.

The incumbent will model Leadership values, maintain accurate service records, and communicate effectively with customers and internal teams. Up to 10% travel may be required.

Qualifications

• High school diploma or GED required.
• 1–3 years administrative or customer service experience preferred; heavy-duty truck/equipment fleet service experience is a plus.
• Familiarity with repair order management and service scheduling.
• Experience processing warranty claims and service billing.

Responsibilities

• Prepares, opens, updates, monitors, and closes repair orders accurately and efficiently.
• Schedules customer appointments and coordinates service workflow to maximize shop productivity.
• Maintains accurate service records, customer files, and repair documentation.
• Processes invoices, purchase orders, work orders, and billing transactions.
• Assists with warranty claims, documentation, and manufacturer compliance requirements.
• Communicates with customers by providing repair status updates, estimates, and completion schedules.
• Coordinates with Service Advisors, Technicians, and Parts personnel to ensure timely repair completion.
• Enters service data into dealership management systems and maintains data accuracy.
• Maintains confidentiality of customer, financial, and company information.
• Prepares daily, weekly, and monthly service department reports.
• Maintains inventory of office supplies and administrative materials.
• Ensures compliance with company policies, safety procedures, and quality standards.
