Job summary

JTEKT MACHINERY AMERICAS CORPORATION in Arlington Heights, IL seeks an on-site Administrative and Customer Service Specialist. You will prepare financial documents, coordinate service requests, resolve escalated issues, and manage inquiries through field-management and phone systems.

Ideal candidates have 3–5 years in accounting and customer service, with experience in cloud-based field service management (Salesforce/Epicor). Proficiency in Microsoft Office is essential.

Qualifications

• Minimum of 3–5 years with basic accounting functions or bookkeeping.
• Experience with cloud-based field service management systems (FSL/Salesforce, Epicor ERP) is highly desired.
• Strong customer service and project management capabilities required.
• Intermediate proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.

Responsibilities

• Prepare quotations, requisitions, and documents for customer accounts, invoicing, expense reporting, and payroll tasks.
• Communicate with local and remote customers and staff regarding billing, scheduling, and project tasks.
• Monitor on-site fulfillment using a cloud-based field management system.
• Coordinate with area management on escalated issues and resolutions progress.
• Assist customers seeking service department resources and route inquiries efficiently.
• Create reports and presentations by collecting data and identifying trends.
• Maintain relationships with contacts from customers and partner companies.
• Perform other related duties as assigned.

Provides administrative and customer service support by preparing financial documents, coordinating service requests, resolving escalated issues, and managing inquiries through field-management and phone systems. Analyzes information to create reports and presentations while maintaining strong relationships with customers, staff, and business partners.

This role is an on-site position in our Arlington Heights, IL office.

Key Responsibilities

• Prepare quotations, requisitions, and documents related to customer account set up, invoicing, accounting, expense reporting and/or payroll
• Communicate with local and remote customers/staff regarding billing disputes, scheduling, material control, and project tasks
• Monitor on-site fulfillment of customer requests by using a cloud-based field management system
• Communicate with area management regarding escalated issues and the progress of their resolution
• Assist all internal and external customers who are seeking transactions that require resources from the service department
• Accurately route and/or directly address initial customer inquiries
• Prepare reporting and presentations by collecting and analyzing information and trends
• Maintain relationships with contacts from frequent customer and partner companies
• Performs other related duties as assigned.

Minimum Qualifications

• High school diploma or equivalent (GED, etc.)
• 3-5 year(s) of experience/training with basic accounting functions / bookkeeping
• 3-5 year(s) of experience/training with a cloud-based field service management system (FSL/Salesforce, Epicor ERP) is highly desired
• 3-5 year(s) of experience/training with advanced customer service concepts and project management
• Intermediate proficiency with the Microsoft suite of products (Outlook, Word, Excel, PowerPoint, etc.)

Preferred Qualifications

• Post-secondary degree/certificate or license in a field of study related to customer service
• 1+ year(s) of experience/training using a multi-line phone system (VoIP) in an administrative/support role is highly desired
