Job summary

Harr Motor Group in Worcester, MA is seeking a Service Appointment Coordinator to be the first contact for customers scheduling maintenance and repairs. This office-based role handles calls, texts, and emails to book, confirm, and manage appointments, supporting the service drive with professionalism.

You will log interactions in DealerMine/Tekion CRM, coordinate with advisors and technicians, and strive to reduce no-shows while delivering excellent customer care.

Qualifications

• Strong phone presence and professional communication.
• Experience in fast-paced scheduling environments (call center or automotive service preferred).
• CRM or basic computer proficiency required.
• Detail-oriented with strong organizational skills and time management.

Responsibilities

• Handle inbound and outbound calls, texts, and emails for service scheduling.
• Schedule, confirm, and reschedule appointments based on shop capacity.
• Follow up on missed or unconfirmed appointments to reduce no-shows.
• Communicate inspection findings and recommended services to customers.
• Log all customer interactions in the CRM (DealerMine/Tekion).
• Coordinate with service advisors and technicians to ensure smooth handoffs.
• Follow up with lapsed or uncontacted customers per BDC processes.
• Meet or exceed weekly and monthly appointment/show-rate targets.
• Maintain professionalism and address customer concerns with empathy.
• Participate in team meetings and ongoing coaching.
