Job summary

Kocourek Automotive Group in Wisconsin is seeking a Service Appointment Scheduler to manage service appointments, confirm details, and communicate with customers. You will handle inbound and outbound calls, coordinate with the service team, and ensure accurate scheduling data.

This role emphasizes friendly, responsive customer service, effective use of scheduling tools, and adherence to dealership policies while supporting a seamless service experience for clients.

Qualifications

• Experience delivering strong customer service in a fast-paced environment.
• Ability to efficiently schedule and manage multiple appointments.
• High school diploma or equivalent is preferred.

Responsibilities

• Confirms all appointments the day before to ensure accuracy.
• Makes special order arrival calls and schedules service appointments.
• Updates customers on ETA for special order parts.
• Executes follow-up calls to recover lost customers and encourage repeat business.
• Provides excellent customer service by listening to inquiries, identifying needs, and resolving concerns.
• Maintains efficient appointment flow and professional interactions with customers.

Responsibilities

The Service BDR is responsible for performing the duties and responsibilities described below. The list, however, is not necessarily and exhaustive description of the duties and responsibilities associated with the job. The Service BDC specialist also performs other duties and responsibilities as needed.

• Calls all appointments the day before to confirm
• Makes special order arrival phone calls and schedules appointments
• Calls on all special order parts that have not arrived to update the customer of the current eta.
• Call on lost clientsand attemptto regain their business
• Provides excellent customer service by listening to customer inquiries and requests, asking questions to identify service needs, and resolving concerns*
• Creates quality service-lane traffic with effective follow-up and daily appointment-setting practices.
• Establishes and maintains good working relationships with customers to encourage repeat and referral business.
• Follows up with customers to ensure service satisfaction.
• Follows all service department policies and procedures.
• Scheduling appointments to keep the group efficiency at optimum levels.
• Answers phone calls immediately and greets every customer in a pleasant manner.

Education

• Minimum of high school degree or equivalent preferred.

Requirements

• Must have a good driver’s license and a driving record that meets our insurance standards
• Must be able to pass pre-employment screenings (MVR and drug screening)

Physical/Working Demands

• Bending, stretching, standing and reaching
• Using computers to look up and enter data.
• Utilizing physical and manual dexterity.
