Job summary

Shamrock Foods Company is seeking a Fleet Maintenance Coordinator to manage and audit fleet work orders, ensure accurate repairs, proper parts billing, and timely preventive maintenance scheduling across our operations.

You will liaise with technicians, drivers, and operations, create detailed repair orders, track status, coordinate warranty and outside services, and support inventory and invoice processing.

Qualifications

• High school diploma or GED.
• 1+ years of related experience (2+ years preferred).
• Excellent oral and written communication skills.
• Ability to handle complex issues and problems.
• Willingness to work evenings, weekends, holidays, and travel when needed.
• Must pass a DOT medical physical.
• Must have a valid driver's license.

Responsibilities

• Manage and audit fleet maintenance work orders.
• Schedule preventive maintenance appointments.
• Greet drivers upon arrival at the Fleet service center.
• Accept vehicles for repairs.
• Provide estimated repair times to Fleet Maintenance Manager/Supervisor.
• Update daily out of service reports.
• Assign vehicles to technicians.
• Create detailed repair orders based on driver write-ups.
• Ensure repairs and parts are billed to the correct unit.
• Coordinate warranty repairs, vendor services, and outside repairs.
• Assist with inventory control, parts procurement, and invoice processing.
• Maintain regular attendance.
• Perform other duties as assigned.

Manage and audit all fleet maintenance work orders, ensuring repairs are documented accurately, parts are properly billed, preventive maintenance is scheduled and tracked, and communication between technicians, drivers, and operations remains timely and professional.

• Fields calls for service, breakdowns, and schedules preventative maintenance appointments
• Greets drivers upon arrival to the Fleet service center
• Accepts vehicles for repairs
• Notes damage or other driver concerns
• Provides estimated repair time to Fleet Maintenance Manager / Supervisor
• Update daily out of service reports
• Assigns vehicles to appropriate/available technicians
• Create detailed repair orders based on driver write-ups
• Ensure repair orders are completed accurately, thoroughly inspected, and all parts issued are properly billed to the appropriate unit.
• Coordinate warranty repairs, vendor services, and outside repair work.
• Assist with inventory control, parts procurement, inventory cycle counts, and invoice processing.
• Regular and reliable attendance.
• Other duties as assigned
