Qualifications

• Associate's degree required; Bachelor's in health, human services, or related field preferred.
• Minimum two (2) years of program coordination, administrative, or community program experience.
• Demonstrated ability to manage multiple schedules, sites, priorities, and deadlines.
• Strong organizational, time management, and problem-solving skills.
• Proficiency with Microsoft Office and ability to learn new scheduling/data systems.
• Ability to lift and transport program materials weighing up to 25 pounds.

Responsibilities

• Build and maintain program calendars across multiple sites and coordinate schedules with partner organizations.
• Coordinate session logistics, including room setup, accessibility, seating, AV equipment, and refreshments.
• Order, inventory, transport, and manage program supplies, educational materials, and equipment.
• Serve as the on-site lead during program sessions, ensuring activities run smoothly and participants feel welcome.
• Coordinate health screenings, wellness events, and checkup activities with clinical staff.
• Arrange transportation assistance and support services for participants when appropriate.
• Manage participant registration, intake paperwork, attendance tracking, and session documentation.
• Maintain accurate participant records and enter program data in a timely manner.
• Respond to participant and family inquiries regarding services, schedules, and access.
• Support development of activities focused on wellness, nutrition, cognitive engagement, social connection, and chronic disease self-management.
• Schedule and coordinate guest presenters, facilitators, and volunteers.
• Gather and summarize participant feedback and prepare attendance and activity reports for leadership.
• Provide day-to-day direction and support to volunteers and ensure onboarding/training is completed.
• Ensure participant information is HIPAA-compliant and handled per policies.
