Job summary

SubCom is seeking a Senior Project Planner & Strategy Coordinator in the United States to develop and execute strategy-driven project plans. You will manage complex timelines, allocate resources, and coordinate cross-functional teams to ensure on-time delivery aligned with company vision.

The role requires driving master schedules, budget monitoring, risk mitigation, and proactive communication with stakeholders to optimize project outcomes in a fast-paced environment.

Qualifications

Responsibilities

• Define project goals, scope, and objectives aligned with broader strategy.
• Create and maintain detailed project schedules (Gantt, WBS).

• Identify risks and develop contingency plans to keep on track.

This role involves managing complex project timelines, allocating resources, managing budgets, and facilitating communication between cross-functional teams and stakeholders. The ideal candidate ensures that projects are not only completed on time but are also strategically aligned with the company's overarching vision. This position reports to the Senior Leader of the project Planning and Strategy organizationDuties/ResponsibilitiesStrategic Planning & Alignment: Collaborate with leadership to define project goals, scope, and objectives, ensuring they align with broader business strategies. Will lead working level discussions on vessel allocations per project based on overall company needs.Project Scheduling & Tracking: Create and maintain detailed project schedules (e.g., Gantt charts, WBS) to monitor progress against deadlines and milestones. Will be the main day-to-day interface with the factory as it relates to project loads and scheduling.Master Ship Schedule: Will maintain, update and control the Master Ship Schedule and Quilt. Will lead group discussions and provide concise mitigation plans to the broader teamResource & Budget Management: Estimate labor and material needs, allocate resources effectively, and track project expenditures to ensure they stay within budget.Risk Mitigation & Problem Solving: Proactively identify potential risks, technical hitches, or bottlenecks and develop contingency plans to keep projects on track.Communication & Liaison: Act as the central point of contact between project teams, stakeholders, and clients to ensure clear, consistent, and proactive communication.Documentation & Reporting: Maintain comprehensive project documentation, generate status reports for management, and document key decisions from meetings.Process Improvement: Analyze project data and workflows to recommend improvements in efficiency and performanceBudget Management:The Senior Planner collaborates to architect the Integrated Master Schedule, ensuring it is resources are aligned with the company and project goalsBaseline Establishment: They consolidate input from all functional groups to set the original cost and schedule baselines.Forecast & Risk Management:Estimate at Completion (EAC): They calculate the project’s final cost based on current performance trends, providing \"no-surprise\" updates to leadership.Risk Modeling: They run \"what-if\" simulations to determine how a delay in one department or project will impact other departments or projects to ensure we are prioritizing in line with executive and corporate goals.Rolling Forecasts: They manage a dynamic, multi-month outlook that adjusts as market conditions or project realities change.Cost ControlThe Senior Planner provides checks and balances for the project's health.Scope & Change Control: They analyze the cost and schedule impact of any requested change before it is approved, preventing \"scope creep\" from eroding the budget.Corrective Strategy: When a project drifts off-track, they design the recovery plan—re-sequencing work or re-allocating resources to bring the project back within financial limits.QualificationsEducation: Bachelor's degree in business administration, engineering, or a related field or 5-7 years of experience in project coordination, planning, or a similar role.Tools Proficiency: Advanced proficiency in Microsoft Office (Excel, PowerPoint) and project management software.Strategic Thinking: Ability to see the \"big picture\" and align project tasks with company goals.Organization and Time Management: Strong organizational skills with the ability to manage multiple, complex projects simultaneously.Communication: Excellent written and verbal communication skills for stakeholder reporting and team coordination.Multitasking: Ability to perform multiple tasks at once to meet project / company deadlines.Analytical Skills: Ability to analyze data and reports to track performance and make data-driven recommendations.NOTE: This job description is not intended to be all-inclusive.
