Job summary

SubCom is seeking a Marine Coordinator to support projects from kickoff through completion, interfacing with quality, factory staff, and project managers.

Role emphasizes documentation, schedule tracking, and cross-functional collaboration in a fast-paced environment with global impact.

Qualifications

  • Minimum 5 years of experience.
  • Completion of a higher education degree or a technical/vocational program.
  • Experience with Math & Statistics, Computer Operations.
  • Proficient verbal and written communications.
  • Critical thinking aptitude (problem solving and identifying areas for improvement).
  • Proficiency in MS Office applications (Excel, Word and PowerPoint).
  • Proficiency in Microsoft Project is a plus.

Responsibilities

  • Create and maintain project documentation used for customer presentations (PowerPoint).
  • Develop and implement process improvements: ship schedules and tracking tools for goods from shipment to destination.
  • Support export paperwork requirements interfacing with factory, PMs and logistics.
  • QC for customer-facing documentation (SOWs, MOPs, etc).
  • Provide daily progress reports and assist with contract deliverables.
  • Manage spares inventory trackers for the client.
  • Assist Marine Coordinators and Project Managers with project tasks.
  • Maintain SharePoint sites to keep content current and organized.

This position also provides cross-project support by interfacing with the quality team, factory staff, and project managers.Duties/Responsibilities (Include No More Than 10 Bullet Points)Assist the Senior Manager, Marine Coordination & Implementation with:Creating and maintaining project documentation that is used for customer presentations including client presentation support – Power Point slide gathering, collating and formatting.Process improvement initiatives: forward looking analysis of ship schedules, developing enhanced tracking tools for goods from time of shipment to end destination (early identification of project-specific export paperwork requirements: interface with factory (Shipping Authorization), load EICs/MES (as built SLDs), PMs (pricing), and logistics (IOR, Agents, etc)).Other ISO-focused support on behalf of broader marine coordinator team such as QC for customer-facing documentation (reviewing presentations, permitting project briefs, SOWs, MOPs, etc).Planning and delivering daily progress reports when required and other support for customer contract deliverablesA longer-term objective is to develop a process that could further automate Marine Coordinator inputs to the export commercial invoice creation.Management of spares inventory trackers on behalf of the client.Assist Marine Coordinators and Project Managers with specific project tasks.
