Job summary

System One in Pittsburgh, PA is seeking a Project Manager IV to serve as a trusted operational partner to senior leadership, translating strategic vision into organized, executable action in a fast-paced institute setting. The PM will manage complex schedules, budgets, and multiple concurrent projects, lead meetings, and coordinate cross-functional teams with discretion and independence.

Candidates should have a Bachelor's degree and at least six years of progressive project-management

Qualifications

• Bachelor’s degree required.
• Minimum 6 years of progressively responsible project management or executive operations experience.
• Proven track record managing multiple projects and stakeholders independently.
• Strong supporting experience with executive or senior leadership as a trusted partner.
• Advanced calendar and priority-management skills, including gatekeeping and conflict foreseeing.
• Experience managing project budgets, expenses, reimbursements, and vendor payments.
• Ability to create and deploy project-tracking systems, workflows, and organizational tools.
• Excellent written communication skills for drafting professional correspondence and reports.
• Strong organizational skills, attention to detail, and the ability to see the big picture.
• Initiative and problem-solving skills with the ability to work with minimal supervision.
• Strong interpersonal skills for working with executives, staff, vendors, and external stakeholders.
• Experience in scientific, research, academic, healthcare, or similarly complex environments preferred.
• Familiarity with Concur, PantherExpress, Microsoft Office, and project-management platforms preferred.

Responsibilities

• Provide high-level project management and operational support to senior leadership.
• Manage competing priorities, complex schedules, budgets, expenses, and multiple concurrent projects.
• Bring structure and follow-through to a dynamic environment.
• Develop and maintain project-tracking processes and calendars; ensure deliverables move forward.
• Lead meetings, set agendas, document decisions, and follow up with stakeholders.
• Coordinate with internal teams, vendors, and external partners to gather information and advance progress.
• Support selection and management of external consultants and vendors; track deliverables and payments.
• Oversee planning, coordination, tracking, and execution of multiple projects with deadlines.
• Assist with calendar management, request prioritization, conflict resolution, and schedule planning.
• Handle sensitive matters with discretion; use university systems like Concur and PantherExpress.
