Job summary

Metropolitan Opera Studio seeks a Senior Project Manager who will coordinate resources and budgets to deliver high-quality publications and collateral, aligned with the company mission and fundraising objectives.

You will partner with the Design Director and other departments to optimize processes, manage schedules, and ensure timely proofreading and approvals for assets across print and digital formats.

Qualifications

  • 5+ years of project management in the creative services/design area.
  • Ability to work in a fast-paced environment, balancing multiple concurrent projects under tight deadlines.
  • Thorough understanding of content development, print production principles, and content creation across print and digital channels.
  • Proven ability to diplomatically implement workflow standards and achieve buy-in from all stakeholders.
  • Creative, dynamic and highly organized with superior relationship management skills.
  • Excellent track record of managing work and coordinating contractual agreements with vendors such as printers, mailing houses, programmers, etc.
  • Familiarity with Wrike is a plus.
  • Interest in the arts.

Responsibilities

  • Resource management — Coordinate project execution in Wrike, coordinating with all departments and stakeholders to ensure process, schedule and budget adherence.
  • Scheduling — Create, revise, and maintain production schedules in Wrike and provide project status for content delivery into print and digital products.
  • Operations — Maintain and develop Wrike to track and manage large volumes of projects; train new employees.
  • Production — Estimate production costs of incoming jobs versus budgets to ensure design solutions fit parameters.
  • Purchasing — Order and purchase collateral materials, coordinating with vendors to maximize budgets and timely delivery.
  • Budget — Monitor and adhere to project budgets; communicate all scope changes prior to production.
  • Resolve queries during production in consultation with the Design Director.
  • Mailing — Ensure timely execution of direct mail campaigns including bids, instructions, postage invoices, and data transfers.
  • QC — Traffic files and deliverables between departments and outside vendors; ensure file naming and printer specs compliance.
  • Liaise with Gallery Met for signage needs (banners, labels, three sheets, digital signage) and ABT on signage/tickets/fulfillment materials.
  • Maintain good relationships and clear communication with coworkers and vendors.
  • Traffic and purchase artist poster requests.
  • Liaising with ABT on signage, tickets, and fulfillment materials.

Job description

The Senior Project Manager, who reports to the Design Director, coordinates Metropolitan Opera Studio resources and project budgets to ensure timely creation of deliverables that reflect and support the mission and style of the company while advancing its business and fundraising objectives. The Senior Project Manager will ensure team adherence to process, schedule and budget, working in concert with all department stakeholders. The Senior Project Manager works with other departments and the Design Director to create a process that responds to both the evolving needs of the company and ensures that materials are seen and proofread by the necessary parties. This position works closely with the Design Director in ensuring that needed assets are created to the highest standard in a timely manner. Responsibilities include oversight of the production and trafficking of in-house publications and collateral—finding dynamic ways to consider the needs of the company and the length of time needed to create the work.

Primary Responsibilities
  • Resource management — Coordinate project execution in Wrike, in concert with all departments and stakeholders, ensuring adherence to process, schedule and budget
  • Scheduling — Create, revise, and maintain production schedules in Wrike and detailed project status for content delivery into both print and digital products
  • Operations — Maintain and develop Wrike project management tool to track and manage large volumes of projects. Train new employees.

  • Maintain good relationships and clear communication with co-workers and vendors
  • Traffic and purchase artist poster requests
  • Gallery Met — facilitate the signage needs for Gallery Met including front of house banners, paintings labels, three sheets, and digital signage.
  • Liaising with ABT on their needs regarding signage, tickets, and fulfillment materials.
Skills and Qualifications
