PROJECT MANAGER

Key responsibilities include client communication, collaboration with design and production departments, and vendor management to ensure all client engagements are facilitated successfully, on time, to quality standards, and on budget.

Primary Duties and Responsibilities:

The Project Manager manages a high volume and variety of client projects from handoff through completion. This role primarily collaborates with Design, Production, Sales/Account Management, and Accounting to ensure all client engagements are delivered successfully, on time, on quality, and on budget. The Project Manager is the day-to-day point of contact for clients on their assigned projects.

Primary Duties and Responsibilities
Project Management. (50%)
  • Maintaining and updating Workamajig (our project management software) client records, schedules, and budgets;
  • Maintaining and upholding client timelines;
  • Managing the client proofing process, ensuring accuracy in all design proofs and final product;
  • In conjunction with Designer, ensuring that accurate print mechanical specs are sent to the printer with regard to quantity, copy, sizing, selected print vendors, etc.;
  • Troubleshooting printer or production errors with Designer and Production team and creating acceptable and cost-effective solutions to remedy issues;
  • Collaborating with fellow Project Managers, Production department, and Creative Director to generate a daily list of client deadlines so all team members are informed;
  • Communicating to the Production department when timelines or priorities change.
Financial Management. (25%)
  • Actively monitoring project budgets and design revisions, and flagging overages early;
  • Proactively managing design time to ensure that Designers know allocated hours at all times throughout the design process;
  • Entering Purchase Orders (POs) in Workamajig in a timely and accurate manner;
  • Drafting client billing and invoicing using existing templates, in conjunction with the Accounting department.
Client Communication. (25%)
  • Communicating with assigned clients regarding job costs and budget changes, including any additional costs tied to the revisions process;
  • Acting as a proactive resource to the client;
  • Responding to client questions and needs related to wording, etiquette, timeline, etc.
What We’re Looking For:
  • Bachelor’s Degree in Communications, Business, Marketing, Management, or similar field or equivalent work experience;
  • 3-6 years of experience in project management roles, agency experience preferred; experience with luxury clients a plus;
  • Familiarity with Mac OS programs and AI tools preferred;
  • Proficient in Microsoft Office;
  • Experience with Asana, Workamajig, or other project management software;
  • Exceptional verbal and written communication skills with a professional presence;
  • Active listening skills and extreme attention to detail;
  • Excellent numeric reasoning and analytical skills;
  • Comfortable communicating with a variety of clients in a luxury market;
  • Self-motivated with the ability to work independently on multiple tasks;
  • High degree of comfort and organization in a fast-paced environment;
  • Strong inclination towards proactive problem-solving and continuous learning.
