Job summary

HDR is seeking a Senior Project Administrator to support senior leadership with a range of project-related administration and budgeting tasks. The role requires handling confidential information, organizing complex files, and coordinating meetings.

Ideal candidates bring extensive experience, strong Microsoft Office skills, and a commitment to HDR’s employee-owned culture. This full-time position is based in California with interactions across project teams and executives.

Qualifications

  • A minimum of 8 years related experience.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Responsibilities

  • Take responsibility for a wide variety of executive-level and specialized project-related administrative and accounting functions.
  • Work independently and exercise discretion with sensitive and confidential information.
  • Manage multiple complex paper and electronic files, including high-level documents and records.
  • Compose and develop correspondence and complex reports.
  • Manage project insurance matters.
  • Apply quality assurance guidelines and monitor for quality.
  • Manage project documents and files.
  • Answer questions regarding company policies and guidelines.
  • Organize and coordinate meetings and assist with presentations.
  • Work with complex contracts and sub-agreements.
  • Track and monitor project budgets, workloads and schedules.
  • Participate in project reviews and interact with executives.

In the role of Senior Project Administrator, we'll count on you to:

  • Take responsibility for a wide variety of executive-level and specialized project-related administrative and accounting functions
  • Work independently and exercise considerable discretion with sensitive and confidential information
  • Manage multiple complex paper and electronic files, including high-level documents and records
  • Compose and develop correspondence and complex reports
  • Manage project insurance matters
  • Apply company quality assurance guidelines and procedures and independently monitor for quality assurance
  • Manage project documents and files
  • Answer questions regarding company policies, procedures and guidelines
  • Organize and coordinate meetings, and assist with presentations
  • Work with complex contracts and sub-agreements
  • Track and monitor project budgets, workloads and schedules
  • Actively participate in project reviews
  • Exhibit professionalism with clients and corporate executives
  • Work closely with multiple executives, Project Managers and project teams
  • Exercise good judgment and discretion, and independently resolve problems and issues relating to administrative project functions
  • Handle client invoicing, manage collections, complete project budgets and ensure compliance with project contractual obligations as needed
  • Oversee activities of other administrative project support staff as needed
  • Perform other duties as needed
Preffered Qualifications
  • 5-10 years experience in business development, sales, or other outfacing client development services
  • 5-10 years experience in field work, administration or management for construction, craft labor or other relatable fields
Required Qualifications
  • A minimum of 8 years related experience
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
