Job summary

Columbia University is seeking a Sr. Program Support Coordinator within the Division of Academic Affairs.

This role oversees and coordinates administrative processes for part-time faculty, TAs, and preceptors, including onboarding and staffing across MDE, DNP, and Simulation programs. The position serves as the central liaison between Academic Affairs, Human Resources, and academic program areas, ensuring efficient, compliant workflows and supporting ADAA initiatives and accreditation programs.

Responsibilities

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

The Sr. Program Support Coordinator, Academic Affairs is responsible for overseeing and coordinating key administrative and operational processes within the Division of Academic Affairs. The role focuses on managing and streamlining all aspects of part- time faculty, teaching assistant (TA), and preceptor, appointment, and onboarding processes across programs.

This position serves as the central liaison between Academic Affairs, Human Resources, and academic program areas (MDE, DNP, Simulation), ensuring efficient, compliant, and timely execution of workflows. The role also supports accreditation-related initiatives and provides project and administrative support to the Associate Dean of Academic Affairs (ADAA) of DNP programs.

This position reports directly to the Associate Director DNP Programs

Responsibilities
Key Responsibilities- Workforce Management
  • Serve as the primary liaison between Academic Affairs and Human Resources for all part- time faculty, TA, and preceptor hiring processes.

    Oversee departmental orientation processes.

    Coordinate preceptor appointments with faculty/instructor titles.

    Develop and improve workflows across the division

    Maintain accurate rosters and tracking systems for part- time and zero-salary faculty appointments

  • Assist with monitoring, planning, and submission of potential scholarship and funding opportunities (e.g. HRSA NFLP, Jonas Scholar)

    Generate workforce planning and compliance reports as needed, per the ADAA, DNP.

Key Responsibilities- Cross-Departmental Coordination
  • Serve as liaison across departments to ensure more seamless hiring, onboarding, and orientation processes

    Collaborate with HR and academic programs to align workflows.

    Facilitate communication and resolve operational challenges.

    Identify process improvement opportunities.

Key Responsibilities- ADAA & DNP Support
  • Manage scheduling and calendar coordination for the Associate Dean of Academic Affairs, DNP programs

    Coordinate meetings, agendas, and materials.

    Support ADAA-led initiatives and projects.

    Liaise across departments for scheduling needs.

Key Responsibilities- Accreditation & Project
  • Support accreditation-related projects, including document preparation and coordination.

    Maintain accreditation materials and data systems.

    Track timelines and deliverables.

    Assist with site visit preparation and reporting.

Minimum Qualifications
  • Bachelor’s degree or equivalent in education and experience, plus 3 years related experience.

    Strong organizational and project management skills; proficiency with electronic database and workflow systems preferred

    Excellent communication and interpersonal skills.

    Ability to manage confidential information.
