Job summary

Universal Orlando Resort is seeking a Senior Program Manager to guide program scoping, timelines, and budgets, and to oversee consolidated program budgets and work-back schedules across client campaigns.

The role acts as the senior agency advocate, monitors scope creep, and coordinates with Finance and Account Management to manage monthly client bill-backs. Strong leadership and PM skills are essential for success.

Qualifications

  • Bachelor’s degree in Marketing, Communications, Advertising, Project Management, Business, or Organizational Management.
  • 7+ years in corporate environment with a focus on managing a team of 5+ responsible for marketing/advertising messaging and execution.
  • PM certifications such as PMP preferred.

Responsibilities

  • Oversee agency workflow process and ensure alignment with internal/external departments.
  • Drive annual workflow planning and budget alignment for campaigns.
  • Manage programs from estimation through launch and maintenance, ensuring on-time, on-budget delivery.
  • Direct day-to-day activities of Project Management teams and support training and evaluations.
  • Monitor budgets, bill-backs, and change control across programs.

Job description

JOB SUMMARY:

The primary responsibility of the Senior Program Manager is to provide senior-level guidance during the creation of program/campaign scoping, timelines and budgets, as well as to manage overarching, consolidated program budgets and work-back schedules throughout the life of a client partner’s program/campaign. The Senior Program Manager acts as the senior agency advocate on accounts, monitoring overall program scope creep and providing detailed oversight of project transactions. The Senior Program Manager works closely with Finance and Account Management to facilitate monthly client partner bill-backs.

MAJOR RESPONSIBILITIES:
  • Agency Workflow Process Management
  • Oversees workflow process evolution and implementation.
  • Aligns process timelines and SOPs with internal agency and external departments (IMCD, Partnerships, Brand Management, etc.).
  • Agency Annual Workflow Planning
  • Drives Annual P1 strategy process.
  • Ensures annual budget + Tactical Grid are aligned with optimal campaign architecture.
  • Program Administration
  • Ensures all programs + projects are entered to appropriate client architecture structures.
  • Responsible for the consistent successful facilitation of program(s) from estimation through launch and maintenance.
  • Manages all programs on-quality (tactical), on-time + on-budget.
  • Manages monthly bill-backs and write off process for their programs.
  • Team Management
  • Manages and directs day-to-day activities of Project Management team(s) for assigned accounts.
  • Oversees ongoing personnel, process and systems training for their respective Project Management team(s).
  • Facilitates performance evaluations and development plan guidance per UO policies for all assigned direct reports.
  • Program Lifecycle Management
  • Manages program scope creep.
  • Manages + updates program work-back schedules.
  • Monitors overarching client/program budgets + schedules weekly.
  • Business Relationship Management & Change Management
  • Vendor Management
  • Manages approval of all POs for client-related expenses within budgeted scope.
  • Ensures all program outside costs are accurately represented in WMJ.
  • Resource Management
  • Alert Senior Management team of any potential concerns or issues with meeting key client deliverables due to resourcing.
  • Monitor day to day project activities and resourcing, identifying potential instances of underutilization and actively work with the Practice Leaders to address and solve those issues.
  • Arrange weekly meetings with Professional Services Management team to discuss all active projects and potential new business as well as to stay informed of potential issues such as resource and change control matters.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.
EDUCATION:
  • Bachelor’s degree is required. Preferred Disciplines: Marketing, Communications, Marketing Communications, Advertising, Project Management, Business, and Organizational Management.
EXPERIENCE:
  • Preferred candidates will have 7+ years of experience in corporate environment with a focus on managing a team of 5 or more who are responsible for developing marketing and advertising messaging strategies and overseeing tactical execution.
  • Experience with in-house agency or marketing/advertising is a plus; or equivalent combination of education and experience.
CERTIFICATIONS, LICENSES, REGISTRATIONS:
  • Not required, but PMP or any other Project Management certifications strongly preferred.
ADDITIONAL INFORMATION:
  • Must be proficient in Microsoft Office Suite programs, including but not limited to Outlook, Word, Excel, and PowerPoint.
  • Experience with project management workflow software (Workamajig, Basecamp, Workfront, MS Project, etc.) a plus.
  • Proficiency with MAC and Adobe Creative Suite also a plus, but not required.
