Job Title: Senior Program Management Associate (eLearning)

Division: Education, Innovation and Technology

Work Arrangement: Onsite only

Location: Houston, TX

Salary Range: $79,092 - $85,000

FLSA Status: Exempt

Work Schedule: Monday - Friday, 8 a.m. - 5 p.m.

Summary

Supports the administration and delivery of the Center for Teaching & eLearning's (CTeL) education programming, including eLearning course development and faculty development activities in support of undergraduate, graduate, residency, fellowship, continuing medical education, and other College-affiliated programs. The position is responsible for scheduling, faculty and staff consultations and educational related events. This position also provides project management for eLearning development activities, leads routine development and maintenance of eLearning courses, administers workshop and course registration within the Center's learning management systems, develops communications related to the Center, and coordinates the reporting that gives the Executive Director, area leads, and department leadership clear visibility into project status and center activity. This is a blended project development and instructional support role.

Job Duties

Program and Project Management (30%)

  • Plans, implements, and contributes to the Center's education programs and activities, serving as a lead for eLearning course development projects and faculty development programming.
  • Manages and maintains the Center's operational dashboard.
  • Manages client and project workflow and requests.
  • Assists with strategic planning initiatives and process improvement efforts.

eLearning Course Development and Maintenance (20%)

  • Provides content development support for programs and activities, contributing to and supporting the development and maintenance of eLearning courses, and setting and enforcing the Center's design standards.
  • Responsible for monitoring, coordinating and contributing to eLearning course builds, updates, and quality checks across the instructional design team.
  • Assists with the audit of templates and course site standards that keep eLearning course development consistent and high quality.

Learning Management Systems: Blackboard Ultra and Blackboard Catalog (20%)

  • Manages workshop and course registration and enrollment within Blackboard Ultra and Blackboard Catalog.
  • Manages and contributes to the creation and setup of workshop and course shells in Blackboard Ultra.
  • Assists with the management of templates and core course sites in support of the Center's course development standards.
  • Manages workshop and course listings within Blackboard Catalog, including registration configuration and enrollment pathways.
  • Generates LMS reports on enrollment, completion, and activity.

Program Operations, Outreach, and Communications (20%)

  • Maintains the Center's master calendar of workshops, programs, and events, including the annual faculty development workshop series.
  • Administers workshop registrations end to end: event setup, enrollment, waitlists, confirmations, and attendance.
  • Organizes and oversees participant recruitment and outreach efforts, including program announcements, registration outreach, marketing and promotional materials, and participant follow-up.
  • Maintains and manages the scheduling for Studio One and the Collaborative Learning Lab, setting priorities and resolving competing requests; provides orientation sessions and coaching on uses of Studio One; responsible for providing support for day-to-day activities of Studio One and Collaborative Learning Lab.
  • Drafts, reviews, and updates operations policies and procedures, and recommends improvements.

Reporting, Compliance, and Dashboards (10%)

  • Manages and maintains Center reporting: defines the metrics in consultation with executive Director, maintains dashboards, and interprets registration, project status, and center activity for Center and department leadership.
  • Ensures programs align with and meet compliance and accreditation guidelines and may provide guidance in the accreditation process.
  • Performs other job-related duties as assigned.
Minimum Qualifications
  • Four years of relevant experience.
Preferred Qualifications and Skills
  • Preference for instructional design, educational technology, project management, or a related field.
  • Knowledge of instructional design principles and eLearning course development.
  • Experience with Blackboard Ultra and Blackboard Catalog or a comparable LMS.
  • Familiarity with higher education, including health professions and medical education environments.
  • Strong organizational, communication, and reporting skills.
  • Working knowledge of educational systems and learning technologies, including learning management systems.
  • Demonstrated intermediate to advanced skills with MS Office Suite (Word, Excel, Teams, Copilot).
  • Strong written and verbal communication skills.
