  • Coordinate administrative activities supporting international admissions, study abroad, and other programs.
  • Assist students, faculty, staff, and visitors with information about departmental services, procedures, and deadlines.
  • Process applications, forms, and correspondence per university procedures.
  • Expand Office of International Programs’ social media by creating content, monitoring activity, and promoting programs per branding standards.
  • Coordinate meetings, orientations, workshops, and events with facilities and participants.
  • Maintain accurate records, databases, and filing systems including SEVIS data and other university systems.
  • Serve as point-of-contact for international student health insurance enrollments, waivers, benefits, communication, and payments.
  • Monitor processes to ensure required documentation is complete and deadlines are met.
  • Collaborate with departments and external partners to deliver international program services.

SUMMARY
JOB DESCRIPTION

This is a senior-level administrative support position responsiblefor coordinating and assisting in planning, organizing, andperforming a wide variety of advanced administrative and program support functions. Responsible for coordinating and participatingin the administrative functions supporting assigned programs,including planning, evaluating, implementing, and monitoringprogress towards the realization of program goals and objectives.Responsible for reviewing and revising program procedures toincrease efficiency and effectiveness and providing customerservice and support to program-related contacts. Works underlimited supervision, with considerable latitude for the use ofinitiative and independent judgment. Reports to the Director ofInternational Programs

QUALIFICATIONS

Bachelor’s degree is required. Related experience may besubstituted for required education on a basis set forth by theDepartment of Human Resources.

One year of related experience is required. Clerical,administrative support, customer service, higher education, orrelated office experience is preferred. Experience with socialmedia, event planning, and/or outreach activities ispreferred.

ESSENTIAL JOB FUNCTIONS
  1. Coordinates administrative activities that supportinternational admissions, study abroad, and other assignedprograms.
  2. Assists students, faculty, staff, and visitors by providingaccurate information regarding departmental services, procedures,and deadlines.
  3. Processes applications, forms, correspondence, and otherdocuments in accordance with established universityprocedures.
  4. Coordinates and expands the Office of International Programssocial media presence by creating content, monitoring activity,responding to inquiries, analyzing engagement metrics, andpromoting departmental programs, events, and services in accordancewith university branding standards.
  5. Coordinates meetings, orientations, workshops, and specialevents by scheduling facilities, preparing materials, andcommunicating with participants to support culturally and sociallysignificant programs designed to increase stakeholder and communityengagement.
  6. Maintains accurate electronic and paper records, databases, andfiling systems, including international student data maintained inthe US Department of Homeland Security Student and Exchange VisitorInformation System (SEVIS) system and other university informationsystems as assigned.
  7. Serves as point-of-contact for international student and studyabroad student health insurance enrollments, waivers, benefitscommunication, and payment processes.
  8. Monitors assigned processes to help ensure requireddocumentation is complete and deadlines are met.
  9. Works cooperatively with university departments and externalpartners to facilitate efficient delivery of international programservices.
NON-ESSENTIAL JOB FUNCTIONS
  1. May assist with reception, telephone coverage, and generaloffice operations.
  2. May provide guidance and routine assistance to student workersand temporary employees.
  3. May participate in departmental meetings, trainingopportunities, and university events.
  4. May perform special projects as assigned.
  5. Performs other related duties as assigned.

  6. Skill in using computer applications including spreadsheet,database, and word processing software.
  7. Skill in using logic and reasoning to identify the strengthsand weaknesses of alternative solutions, conclusions, or approachesto problems.
  8. Skill in completing assignments accurately and with attentionto detail.
  9. Ability to accurately prepare and maintain records, files, andreports.
  10. Ability to communicate and interact effectively with members ofthe public.
  11. Ability to work collaboratively and build strategic relationswith colleagues, coworkers, constituents, and volunteers.
  12. Ability to work successfully as a member of a team andindependently with moderate supervision.
  13. Ability to learn office and university-specific software.
  14. Ability to set priorities and complete assignments ontime.
  15. Ability to obtain a Texas driver's license, SFA permit, and vancertification prior to employment.
  16. Ability to process and handle confidential information withdiscretion.
  17. Ability to plan, implement, and evaluate programs.
