Job summary

Responsibilities

  • Answer phone calls, reply to emails, and process mail promptly and professionally.
  • Review student accounts for errors, explain balances, and document transactions.
  • Process contract payments and generate bills to contracting entities.
  • Process waivers and exemptions per Texas Education Code and document requirements.
  • Receive and supervise payments for university events and services.
  • Balance cash drawers, accounts, and deposits; update the accounting system.
  • Prepare daily deposits and journal, ledger, and voucher entries from supporting data.
  • Coordinate accounting/bookkeeping functions within the department.
  • Maintain receivables, payables, budgets, and related accounts.
  • Assist academic units and grants with accounting-related functions.
  • Prepare daily to annual reports and statements.
  • Interpret department and university policies for students, staff, and the public.

Job description

SUMMARY

This is a journey-level position responsible for overseeing thebusiness and financial operations of a department. Responsible foraccounting, bookkeeping, and recordkeeping, balancing accounts andpreparing reports, and administering budgets. Responsible for anycombination of the following duties and for serving as backup toother business coordinators within the department. Works undergeneral supervision, with moderate latitude for the use ofinitiative and independent judgment. Reports to Associate Directorof Student Business Services (SBS).

QUALIFICATIONS

Bachelor’s degree in accounting, business, or a related field isrequired. Related experience may be substituted for requirededucation on a basis set forth by the Department of HumanResources.

Two years of related experience is required. Experience inbookkeeping or fiscal accounting, general office procedures, andcomputer data entry and retrieval is required. Experience in highereducation is preferred.

ESSENTIAL JOB FUNCTIONS
  1. Answers phone calls, replies to emails, and processes mail in atimely and professional manner.
  2. Reviews student accounts and documents for errors ordiscrepancies, investigates miscellaneous charges, credits accountsif corrections are indicated, and explains account transactions orbalances.
  3. Processes contract payments for student accounts and generatesbills to contracting entities.
  4. Processes student waivers and exemptions in accordance withTexas Education Code after documenting requirements.
  5. Receives and/or supervises the receipt of payments fromstudents and others for university sponsored events andservices.
  6. Balances and/or oversees balancing of cash drawers, individualaccounts, and deposits; updates the accounting system.
  7. Prepares and/or assists with daily deposits.
  8. Prepares or posts journal, ledger, and voucher records fromsupporting data.
  9. Coordinates accounting/bookkeeping functions within thedepartment.
  10. Maintains, manages, and reconciles receivables, payables,budgets, and other business accounts within the department.
  11. Assists academic units and grants with accounting-relatedfunctions.
  12. Prepares daily, monthly, quarterly, annual, and special reportsand statements.
  13. Interprets departmental and university policies and proceduresfor students, faculty, staff, and the general public .
  14. Maintains and updates departmental procedures.
  15. May compute hourly and monthly payroll records and verify timesheets and personnel action request forms for budgetaryconformity.
  16. Distributes payroll checks. Releases or deposits financial aidchecks via automated student account receipt system. Assists in theprocessing of student refunds.
  17. Oversees cash receipts training for university employees.
  18. Trains and provides work direction to student tellers.
NON-ESSENTIAL JOB FUNCTIONS
  1. May serve on departmental or campus-wide committees.
  2. Performs other related duties as assigned.

  5. Skill in completing assignments accurately and with attentionto detail.
  6. Ability to set priorities and complete assignments ontime.
  7. Ability to compile, organize, interpret, and communicateaccounting data and results in a concise format.
  8. Ability to accurately prepare and maintain records, files, andreports.
  9. Ability to communicate effectively in both oral and writtenform.
  10. Ability to maintain effective interpersonal relationships.
  11. Ability to explain policies and procedures to students, theirparents, staff, faculty, and the public.
  12. Ability to establish and maintain a good rapport withuniversity faculty and staff, students, and the general public.
  13. Ability to work with and maintain confidentialinformation.
  14. Ability to learn office and university-specific software.
