Job summary

Heinen’s, Inc. is seeking a Senior Payroll Specialist to oversee accurate and timely payroll for multiple stores. The role collaborates with Payroll, Finance, HR, store leadership, and external partners to resolve issues while maintaining confidentiality and compliance.

Responsibilities include payroll administration, payroll accounting and reconciliations, and supporting process improvements. Strong Excel and HRIS experience preferred; union payroll background is a plus.

Qualifications

• Associate or bachelor's degree in Accounting, Business, Human Resources, or a related field preferred; equivalent experience considered.
• 3–5 years of progressive payroll experience, preferably in a high-volume, multi-location environment.
• Strong knowledge of payroll processing, accounting, reconciliations, and general ledger processes.
• Experience with payroll/HRIS systems and Microsoft Excel.
• Union payroll or collective bargaining experience strongly preferred.
• Strong analytical, organizational, problem-solving, and communication skills.

Responsibilities

• Process payroll accurately and timely for assigned stores.
• Manage payroll activities including new hires, status changes, deductions, and other transactions.
• Review employee information for accuracy and resolve discrepancies before payroll processing.
• Process complex payroll transactions and respond to inquiries.
• Prepare payroll-related general ledger entries and maintain audit support.
• Coordinate union billing, 401(k) deductions, and retirement plan activities.
• Support store leadership and HR with payroll questions and transactions.
• Identify opportunities to improve payroll processes, controls, and efficiency.
