About The Role

The Senior Payroll Specialist plays a mission-critical role in ensuring the accurate and compliant execution of payroll across a dynamic, high-growth, and publicly traded biotechnology company. This individual will manage all aspects of payroll operations, including base pay, variable/incentive compensation, vehicle reimbursement, and equity-related payments, while navigating complex tax, audit, and compliance environments. A strong collaborator and communicator, the Senior Payroll Specialist partners closely with HR and cross-functional teams to align data, resolve discrepancies, and deliver an exceptional employee experience. The ideal candidate brings demonstrated expertise in managing payroll at a public company and has worked with systems such as Rippling, ADP, E-Trade, and platforms handling 401(k), ESPP, and global payroll providers.

Essential Functions

  • Lead full-cycle, multi-state U.S. payroll processing with precision and compliance for exempt and non-exempt employees, including incentive-based and equity-related payments.
  • Manage workflows to ensure all payroll transactions, inclusive of adjustments and amendments, are processed accurately and timely.
  • Partner with HR and Finance to ensure accurate employee records, timely updates, and data synchronization across systems.
  • Oversee equity compensation payments, coordinating with internal equity administrators and vendors and applying correct tax treatment.
  • Support quarterly and year end payroll activities ensuring accuracy of payroll filings, 1099s and W2 documents.
  • Ensure SOX compliance by following internal controls and supporting relevant documentation and testing.
  • Review international payroll processed by global Employer of Record (EOR) vendors, ensuring accuracy and compliance with contractual terms.
  • Prepare and reconcile payroll data including payroll and benefits systems, 401(k), and equity platforms.
  • Participate in internal and external audits (e.g., SOX, equity, payroll, process audits) and provide audit-ready documentation.
  • Identify and implement payroll process improvements, automation opportunities, and risk mitigation strategies.
  • Respond to employee inquiries and provide high-touch support with accuracy, professionalism, and confidentiality

Qualifications

Bachelor’s degree in accounting, Finance, Business Administration, or a related field.

  • 5+ years of progressive payroll experience, ideally in a publicly traded biotech, pharma, or life sciences company.
  • Experience with equity and incentive compensation, tax withholding, vehicle reimbursements, and expense support.
  • Hands-on experience working with Rippling and/or ADP payroll systems.
  • Strong understanding of SOX controls and experience participating in payroll and process audits.
  • Exposure to reviewing international payroll through EOR models.
