Job summary

Jenne, Inc. is seeking a Senior Payroll Specialist to oversee incentive programs, accurately process payroll, and ensure compliance with company policies and regulations. You will reconcile accounts, analyze financial data, and collaborate with multiple departments.

The role requires strong analytical and organizational skills, confidentiality, and the ability to work with Paycor payroll systems. Hours are 8:00-5:00, Monday through Friday.

Qualifications

  • Associate degree in accounting/finance/HR or related field with four+ years payroll experience.
  • Strong knowledge of payroll processes, wage/hour requirements, and taxes.
  • Experience with multi-state payroll and confidentiality requirements.

Responsibilities

  • Process biweekly payroll accurately for all employees.
  • Review timekeeping records, hours, overtime, bonuses, and commissions.
  • Handle payroll adjustments, retroactive pay, and off-cycle payrolls.
  • Prepare payroll registers and ensure correct deductions and taxes.
  • Maintain payroll records and support audits and compliance.

Senior Payroll Specialist

8:00-5:00

Hours: Monday - Friday

The Senior Payroll Specialist is responsible for overseeing incentive programs, accurately processing payroll, and calculating incentive compensation. This position reconciles accounts, analyzes financial data, and ensures payroll and incentive-related transactions are processed accurately and in compliance with company policies and applicable regulations. The ideal candidate will possess strong analytical and organizational skills, exceptional

attention to detail, a thorough understanding of confidentiality and privacy requirements, and the ability to collaborate effectively with multiple departments.

Duties/Responsibilities
Payroll Processing
  • Process accurate and timely biweekly payroll for all employees.
  • Review and validate timekeeping records, including hours worked, overtime, PTO, bonuses, commissions, and other forms of compensation.
  • Process payroll adjustments, retroactive pay, off-cycle payrolls, manual checks, and final payments as needed.
  • Review payroll registers, reports, and supporting documentation to ensure accuracy prior to payroll submission.
  • Ensure all required deductions, taxes, and withholdings are accurately calculated and applied.
  • Process employee changes, including new hires, terminations, salary changes, promotions, transfers, and other compensation adjustments.
  • Independently manage multi-state payroll activities, including wage and overtime calculations, payroll deductions, paycheck advances, bonus payments, commissions, and separation payments.
  • Maintain complete and accurate payroll records in accordance with company policies and applicable legal requirements.
Payroll Compliance
  • Ensure payroll practices comply with applicable federal, state, and local wage, hour, tax, and payroll regulations.
  • Maintain current knowledge of payroll laws, regulations, and tax requirements affecting multi-state payroll.
  • Assist with quarterly and annual payroll tax filings, reconciliations, and related compliance requirements.
  • Support year-end payroll activities, including the preparation, review, and distribution of W-2s and other required tax forms.
  • Monitor and process wage garnishments, child support orders, tax levies, and other legally required deductions.
  • Maintain appropriate payroll documentation to support audits and compliance reviews.
  • Calculate, validate, reconcile, and process bonus and incentive payments in accordance with established programs and guidelines.
Benefits & Payroll Deductions
  • Reconcile employee benefit invoices against benefit enrollment systems to ensure accurate employee deductions, coverage, and employer contributions.
  • Notify HR of discrepancies and work collaboratively to resolve discrepancies in a timely manner.
Employee & Manager Support
  • Serve as a resource for employees and managers regarding payroll, compensation, deductions, timekeeping, and related policies.
  • Respond to payroll inquiries and research and resolve issues promptly and accurately.
  • Provide guidance on payroll and timekeeping procedures and requirements.
  • Maintain confidentiality of sensitive employee, payroll, compensation, and financial information.
Incentives
  • Primarily focuses on designing, implementing, and managing compensation plans.
  • Work with other departments to ensure programs are set up properly and assignments of accounts are done timely and accurately.
  • Ensure the smooth operation of incentive programs while maintaining accuracy and compliance with company policies.
  • Work with IT to ensure the information presented on Jenne’s website regarding incentives is accurate and working
  • Key responsibilities includeanalyzing performance data, setting goals, calculating incentive payouts, and communicating program calculations to employees when there are questions.

Education and Experience
  • Associate degree in Accounting, Finance, Human Resources, or a related field, or equivalent combination of education and four or more years of relevant payroll experience.
  • Minimum of four years of payroll processing experience, preferably in a multi-state environment.
  • Strong knowledge of payroll processes, wage and hour requirements, payroll taxes, deductions, benefits, and compliance. Preferably Paycor.
  • Strong communication, analytical, organizational, and problem-solving skills.
  • Ability to communicate effectively by telephone, email, video conferencing, and in person.
Preferred Qualifications
  • CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) preferred.
  • Experience with Paycor payroll systems.
Physical Requirement ( In Compliance with ADA)
  • Ability to work at a computer for extended periods.
  • Ability to sit, stand, and move throughout the office as needed.
  • Ability to communicate effectively by telephone, email, video conferencing, and in person.
  • Ability to occasionally lift or move office materials weighing up to approximately 5-10 pounds.
