Job summary

Expeditors is seeking a Payroll Specialist to support multi‑state payroll processing, check distribution and inquiries across bi-weekly, monthly, and quarterly cycles. The role partners with the Sr. Manager on audits, tax correspondence and project initiatives.

The ideal candidate will have 1+ year of ADP Workforce Now experience, strong Excel skills, and a proven ability to handle confidential information with accuracy and discretion. This is a hybrid role within the United States.

Qualifications

  • High school diploma or equivalent.
  • 1 year experience with high-volume multi-state payroll using ADP Workforce Now.
  • Understanding HR/Payroll/Accounting transactions/process flows.
  • Familiar with MS Office (Word, Excel, Outlook).
  • Experience calculating bonuses, commissions and premium pay with Excel.
  • Knowledge of deduction management and garnishments.
  • Knowledge of ADP payroll systems.
  • Fast learner in a busy environment.

Job description

As a Payroll Specialist, you’ll impact the lives of everyday people and help them go from surviving to thriving with innovative digital personal finance solutions. The Payroll Specialist will assist in payroll processing and check distribution for multi‑state/multi‑company bi‑weekly, monthly, quarterly and semi‑annual payrolls as well as be responsible for all incoming inquiries and requests. This role supports the Sr. Manager with audit requests, payroll tax correspondence, outsourced payroll, special projects, assisting with payroll process documentation, and resolving escalated payroll issues. This role requires attention to detail, prioritization of assigned tasks, proficient research/problem‑solving and Excel skills, and excellent customer service.

  • General understanding regarding HR/Payroll/Accounting transactions/process flows.
  • Must be familiar with MS Office products (Word, Excel – intermediate skills, Outlook).
  • Assisting with calculating bonus, commission and premium pay using Excel.
  • Reconciling payroll totals to pre‑processing reports.
  • Knowledge of deduction management and garnishments.
  • Knowledge of ADP payroll systems.
  • Must be a quick learner and adaptable to a fast‑paced environment.
  • Able to work with a wide variety of personalities and deal with each person effectively and professionally.
  • Must possess attention to detail and have accurate data entry.
  • Capable of handling multiple tasks, prioritizing work, and meeting strict deadlines.
  • Ability to secure confidential information.
  • Must possess a professional, proactive, enthusiastic attitude and complete assigned tasks with minimal supervision.
  • Knowledge of multi‑jurisdiction payroll regulations such as federal and state wage and labor laws is a plus.
  • Background in benefits/accounting/HR is a plus.
What you’ll do
  • Demonstrate strong enthusiasm toward payroll processes, accuracy and excellence.
  • Represent the team effectively; build trust and credibility and maintain confidentiality of sensitive payroll information.
  • Demonstrate ability to multitask and work with the immediate payroll team as well as other departmental stakeholders.
  • Manage and respond to payroll/garnishment/tax email boxes answering team requests and questions from other team members.
  • Provide customer service and timely resolution of payroll issues.
  • Assist Sr. Payroll Manager with sending payroll reminders and communications to stakeholders.
  • Assist the Payroll Team pre‑payroll preparation and file organization.
  • Maintain proper payroll processing supporting documentation in an organized manner.
  • Backup support for payroll processing when a payroll team member is out on vacation.
  • Process all reporting requests by auditors and other departments.
  • Download ADP invoices and distribute to required departments.
  • Analyze payroll data, reports, and forms for accuracy.
  • Ensure payroll records are accurate, complete, and well‑maintained.
  • Work closely with other internal/external parties to obtain data timely and follow‑up as needed.
  • General assistance to the payroll department.
  • Other payroll administrative tasks as assigned.
