Job description

Responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system across U.S. and Canadian operations. Payroll is a financial reporting function at Construction Specialties: every cycle flows directly into the general ledger, tax filings and the Company’s retirement plan. The role therefore requires strong financial acumen and the ability to reconcile, analyze and explain payroll results, not simply process them. The position partners closely with Accounting, Treasury, Human Resources and outside service providers, and offers meaningful exposure to month-end close, benefits accounting and multi‑jurisdiction tax within the corporate finance organization.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions, including but not necessarily limited to the following:

  • Administers the processing of Canadian & US Payroll (Weekly & BI Weekly) from start to finish.
  • Reviews the computation of pay and associated deductions for accuracy prior to each release.
  • Coordinates payroll processing with an outside service provider (i.e. ADP), including file transmission, funding and error resolution.
  • Performs monthly payroll reconciliations and investigating variances to resolution.
  • Reviews and audits time card data for completeness, approvals and policy compliance prior to processing.
  • Administers direct deposit, garnishments, levies and court‑ordered withholdings.
  • Responds to and resolves any inquiries regarding paychecks or payroll reporting.
  • Processes off‑cycle payments, wage adjustments, retroactive pay and payroll tax corrections.
  • Maintains up‑to‑date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions.
  • Operates within established internal controls and segregation of duties requirements; escalates exceptions rather than working around them.
  • Responds to and resolves any inquiries regarding paychecks or payroll reporting with professionalism and discretion.
  • Ensures payroll issues are escalated and resolved promptly, with root‑cause follow‑up to prevent recurrence.
  • Serves as the backup to the Department Manager for Reconciliations, and other Department members.
  • Manages payroll inquiries & research, and identifies process improvement, automation and documentation opportunities.
KNOWLEDGE/ SKILLS/ EXPERIENCE/ EDUCATION:
  • Associates degree in Finance, Accounting or Business required; Bachelor’s degree preferred.
  • Proven experience in payroll administration or related field, generally gained from 4-7 years experience in payroll, ideally multi‑state and multi‑entity.
  • Strong knowledge of accounting principles and practices, including debits and credits, account reconciliations and accruals.
  • Prior general accounting exposure (journal entries, balance sheet reconciliations or month‑end close participation) strongly preferred.
  • Detail‑oriented with excellent analytical skills and a track record of meeting non‑negotiable deadlines.
  • Ability to simultaneously work with multiple payroll cycles and in multiple, varying taxing jurisdictions.
  • Intermediate to advanced Excel skills, including lookups, pivot tables and reconciliation of large data sets.
  • Hands‑on ERP experience (i.e. Oracle, Microsoft Dynamics 365) and the ability to learn new systems quickly; preferred.
  • Canadian or cross‑border payroll experience preferred.
  • FPC, CPP or equivalent payroll certification preferred, or willingness to pursue with Company support.
  • Absolute discretion in handling confidential compensation and employee data.
  • Direct Deposit Administration
  • Garnishments and Levies
  • Time Card Review & Audit
  • Pay Calculations
  • General Ledger Coding, Accruals and Close Support
  • Payroll Tax Reporting (ADP, Process Maintenance)
  • Payroll , Wage and Tax Adjustments
  • Payroll Software (i.e. Oracle, ADP, Vanguard)
  • Process Improvement and Payroll Automation
  • Manufacturing or Multi‑Site Environment Experience
  • Annual Salary Range: $70,000 – $100,000. Range will vary by experience and geographic market.
