Overview

The Senior Manager, Events Portfolio & Projects reports directly to the Senior Director and supports them in leading the execution of key meetings and departmental initiatives across ACOG’s events portfolio. This role manages project timelines, logistical workflows, and vendor relationships, mentors staff and collaborates cross-functionally. The Senior Manager also contributes to department-wide projects such as technology rollouts and process improvements, ensuring alignment with organizational goals and standards. While this role provides leadership and guidance to the meetings team, it does not have direct supervisory responsibilities.

Responsibilities

Supervisory Responsibilities:• This position has no direct supervisory responsibilities but does serve as a coach and mentor for other positions in the department

Duties/Responsibilities:• Execute and manage detailed project timelines and operational workflows in alignment with the Annual Clinical & Scientific Meeting (ACSM) and program planning strategy set by the Senior Director, ensuring key logistical goals and milestones are met.• Provide day-to-day guidance and mentorship to meetings staff, ensuring effective execution of logistical plans and budget oversight for the events portfolio—including the ACSM, district meetings (ADM), educational programs, and committee events.• Collaborate with the Senior Director by leading the meetings team in managing vendor and consultant requests—from sourcing and contracting to execution—for services such as audiovisual, catering, exhibits, travel, security, and transportation, ensuring all procedures are followed.• Manage and update the department’s policy and procedures manual, ensuring all documentation reflects current practices, supports staff compliance, and aligns with organizational standards set by the Senior Director.• Manage logistical support for ACOG meetings, including coordinating site selection and site visits, securing venues, hotels, and ancillary spaces well in advance. Collaborate closely with internal teams to ensure seamless event execution.• Collaborate with the Senior Director and other team members to critique, report on, and evaluate potential future annual meeting locations.• Lead and collaborate on key responsibilities for the Annual Clinical Scientific Meeting (ACSM) and other assigned meetings, including contracting, preparing meeting specifications, coordinating event execution, and performing invoice reconciliation.• Collaborate with the IT team to source and implement new technologies for the Meetings department, serving as project lead on department-wide initiatives such as technology rollouts, process improvements, and resource planning.• Serve as a peer mentor and point of escalation for Meeting Managers and Coordinators.• Contribute with budget analysis, prepare department reports, and contribute to vendor performance evaluations to support operational efficiency and strategic decision-making.

Qualifications

Required Skills/Abilities:• Demonstrated experience implementing innovative approaches to event planning, logistics, and attendee engagement.• Strong working knowledge of meeting management software (e.g., Cvent), project management tools, and Microsoft Office Suite.• Ability to lead complex event logistics, vendor coordination, and cross-functional collaboration with attention to detail and adaptability.• Excellent communication and interpersonal skills with a proactive, team-oriented approach.• Ability to travel up to 30% including occasional weekends, as needed.

Education and Experience:• Bachelor’s degree required, master’s degree in a related field preferred.• Minimum of 7+ years of experience in event and conference planning, including at least 3+ years in a supervisory or team leadership role.• Certified Meeting Professional (CMP) required; Digital Event Strategist (DES) or Project Management Professional (PMP) certification preferred.

Compensation

The base salary for this position is $90,000 - $115,000 per year, commensurate with experience and qualifications. In addition, ACOG offers a comprehensive benefits package that includes the perks outlined below.
