Essential Job Functions:
Project Planning and Initiation
- Define project scope, objectives, and deliverables.
- Develop a detailed project plan, including timelines, milestones, resources, and budget.
- Identify and assess project risks and develop mitigation strategies.
- Assemble and lead a project team, assigning roles and responsibilities.
Stakeholder Management
- Identify key stakeholders and establish effective communication channels.
- Facilitate regular meetings and updates with stakeholders to ensure alignment.
- Manage stakeholder expectations and handle conflicts or issues that arise.
Resource Management
- Allocate resources, including personnel, technology, and budget, according to project needs.
- Manage and coordinate with cross-functional teams.
- Monitor resource utilization and adjust as needed to ensure project success.
Execution and Monitoring
- Oversee project execution to ensure it aligns with the project plan.
- Monitor project progress using project management tools and methodologies (We use projectmanager.com and the Waterfall methodology at Schwarz Partners).
- Track and report on project performance against key performance indicators (KPIs) and milestones.
- Ensure adherence to quality standards and project requirements.
Risk and Issue Management
- Proactively identify potential risks and issues that could impact project success.
- Develop and implement risk mitigation plans and contingency strategies.
- Resolve project issues promptly, involving stakeholders and team members as necessary.
Communication and Reporting
- Maintain clear and consistent communication with the project team and stakeholders.
- Prepare and deliver status reports, progress updates, and presentations.
- Document project processes, decisions, and lessons learned for future reference.
Budget and Cost Management
- Develop and manage the project budget, ensuring cost-effectiveness and alignment with financial constraints.
- Monitor project expenses and make adjustments to avoid budget overruns.
Change Management
- Manage change requests and ensure changes are effectively communicated and integrated into the project plan.
- Assess the impact of changes on project scope, timeline, and budget.
- Ensure that change management processes are followed, and stakeholders are informed of any changes.
Project Closure
- Ensure all project deliverables are completed and accepted by stakeholders.
- Conduct project review meetings to capture lessons learned and best practices.
- Prepare and present a final project report, including outcomes, successes and areas for improvement.
Other Significant Job Functions Include:
- Provide leadership, guidance, and motivation to the project team.
- Identify opportunities for process improvement and implement best practices in project management.
- Stay updated with the latest industry trends, tools, and methodologies.
- Contribute to the organization’s project management knowledge base and practices.
REQUIRED EDUCATION AND EXPERIENCE:
- Bachelor’s degree or 5-7 years’ experience in related field.
PREFERRED EDUCATION AND EXPERIENCE:
- Bachelor’s degree or 5-7 years’ experience in related field.
- Experience moving projects forward with minimal oversight, and ability to adapt to new information, situations, or challenges with minimal guidance.
- Experience using project management processes and tools and establishing project management methodologies at other organizations with varying degrees of project management maturity.
- Experience building strong relationships with collaborators across an organization and external partners.
- Ability to communicate clearly and compellingly about analyses, insights, and recommendations, and demonstrated ability to target presentation style, written or oral, to different audiences.
