Job summary

AMS in Dallas is seeking a Recruitment Administrator for Investment Banking. This role provides high-touch recruiting coordination, manages interview logistics, candidate communications, and documentation for a demanding, client-facing environment.

You will partner with TA leads, recruiters and senior stakeholders across time zones, own interview scheduling, visa coordination, offer support, and ensure data integrity and compliance while delivering an exceptional candidate experience.

Qualifications

• Experience coordinating complex interview schedules across multiple stakeholders and time zones.
• Proven ability to manage confidential candidate information with discretion.
• Experience supporting senior-level hiring processes in a corporate or financial services environment.
• Strong data accuracy and familiarity with HR platforms and ATS.
• Excellent communication and stakeholder management with executives.

Responsibilities

• Lead end-to-end interview scheduling and logistics for internal hiring in a high-visibility setting.
• Partner with TA leads, recruiters, and senior stakeholders to deliver a seamless candidate experience.
• Identify scheduling risks, resolve conflicts, and escalate issues to protect timelines.
• Serve as onsite point of contact for candidates and hiring managers during in-person interviews.
• Coordinate visa and immigration activity with internal teams and external partners.
• Support senior-level offer processes, including compensation data collection and approvals.
• Maintain data integrity and compliance with internal policies and regulatory requirements.
• Drive recruiting operations SLAs and continuously improve workflows.
