Job summary

University of South Florida is seeking a Senior International Programs Administrator (Finance) to coordinate inbound and outbound mobility, including exchange programs and Study at USF. You will oversee admissions, partner coordination, pre‑departure preparation, and campus-sited support services for incoming students.

The role also administers study abroad scholarships, ensures compliance, and works with internal teams to promote student enrollment and success in global programs.

Job description

Senior International Programs Administrator (Finance)

The Senior International Programs Administrator coordinates inbound and outbound mobility programs including student exchange and Study at USF programs as well as management of the study abroad scholarship processes within USF World Global Learning.

This position manages inbound and outbound student mobility programs, with primary responsibility for administering exchange programs and the Study at USF inbound mobility program. For exchange programs, the role advises students, reviews applications, makes admissions decisions, coordinates student placements with partners, supports pre‑departure preparation, and collaborates with campus partners to coordinate orientation and support services for incoming exchange students. The position manages relationships with international exchange partners and works closely with USF stakeholders to ensure effective program delivery and compliance. The role also oversees the Study at USF program, coordinating admissions and working with internal partners to support student enrollment and success. In addition, the position administers the study abroad scholarship program, including promotion, application review, award administration, and compliance.

Minimum

This position requires a Bachelor's degree and four years of professional experience, or a Master's degree in an appropriate area of specialization.

Preferred

Master's degree in education, higher education, international education, or a related field, or a bachelor's degree with at least five years of relevant experience. Experience advising students in study abroad or exchange programs. Experience working with inbound international students, including familiarity with J-1 visa processes or exchange visitor programs. Demonstrated experience in academic program administration, international partnerships, or global mobility programming.

Degree Equivalency Clause: Four years of direct experience for a bachelor's degree.

Exchange Program Administration & Partnership Management (20%)

Serve as the primary liaison for inbound and outbound exchange partners, maintaining and strengthening institutional relationships. Manage new and existing exchange agreements, including coordination, review, and contracting processes to ensure alignment with institutional and compliance requirements. Coordinate with international partners on student placements, program logistics, and reciprocal exchange balance.

Exchange Student Advising, Application Review & Enrollment Management (30%)

Advise exchange students on program options, eligibility, academic planning, and pre‑departure requirements. Oversee application review, evaluation, and admissions decisions for inbound and outbound participants. Guide students through enrollment processes and resolve complex issues in collaboration with campus partners.

Program Operations & Student Experience (10%)

Coordinate exchange program and study at USF operations with internal partners, including onboarding, orientation, registration, and ongoing participant support. Monitor exchange student progress and enhance the overall experience through proactive advising and support strategies. Address escalated student concerns by interpreting policy and coordinating with relevant campus offices.

Study Abroad Scholarships (15%)

Oversees the administration of study abroad scholarship programs, ensuring alignment with institutional goals and scholarship guidelines. Develops and manages scholarship application, review, selection, and award processes to promote equitable and efficient distribution of funds. Coordinates the scholarship award process, including reviewing applications, communicating award decisions, advising students on funding opportunities, and maintaining scholarship records and reporting requirements.

Compliance, Risk Management & Process Improvement (5%)

Ensure compliance with institutional policies and regulations regarding exchange agreements, scholarships, and inbound and outbound student mobility. Support documentation, reporting, and coordination related to exchange student participation, including J‑1‑related processes where applicable. Identify and implement process improvements to enhance efficiency and program effectiveness.

Study at USF (10%)

Oversees the Study at USF inbound mobility program, ensuring effective administration and delivery of program services. Advises prospective international students on Study at USF program opportunities, requirements, application processes, and enrollment procedures. Coordinates with Admissions, Office of International Services, International Student Support, and academic units to facilitate student admission, enrollment, registration, and successful participation at USF.

Assessment, Reporting & Strategic Initiatives (5%)

Monitors and analyzes program data, including enrollment trends, student participation, learning outcomes, partner institution engagement, and scholarship utilization across programs. Prepares reports, assessments, and program metrics to support decision‑making, strategic planning, and program development. Identifies opportunities for continuous improvement and implements enhancements to strengthen program effectiveness, student success, and the overall mobility experience. Contributes to strategic initiatives and special projects that advance international student mobility, global engagement, and institutional priorities.
