Job summary

Ultipro is seeking a Senior HR Generalist to support HR, benefits, and personnel administration across locations, assisting managers and staff with HR inquiries and policy adherence. The role emphasizes discretion in sensitive matters and strong collaboration with leadership.

You will lead investigations, coordinate visas and expatriate support, manage benefits programs, oversee recruitment and onboarding, ensure compliance, and maintain accurate records in a manufacturing environment.

Qualifications

  • Minimum of 5 years in HR administration.
  • Proficient in Word and Excel; UKG and D365 a plus.
  • Strong knowledge of local, state, and federal employment laws.
  • Experience with visa processes and global payroll systems.
  • On-site role with ability to multitask and prioritize assignments.

Responsibilities

  • Handle sensitive investigations, workplace conflicts, and high-risk terminations with discretion.
  • Coordinate visas, work permits, travel, and housing support for expatriates and families.
  • Manage housing allowances, COLA, tax equalization, and health insurance.
  • Lead senior-level recruitment, sourcing, and complex offers negotiations.
  • Partner with leadership on organizational development, succession planning, and change initiatives.
  • Ensure compliance with employment laws; conduct EEOC-related activities and risk mitigation.
  • Maintain personnel files, records, and documentation including I-9 and benefits.
  • Administer benefit plans (medical, vision, dental) and process changes in portals.
  • Oversee New Hire Orientation and onboarding activities.
  • Manage Job Descriptions; create, archive, and revise as needed.
  • Assist with 401(k) administration and payroll contributions in portal.
  • Provide HR support to employees and management inquiries.
  • Support pre-employment screenings (background checks, physicals, drug tests).
  • Maintain recruiting ads across company website and social platforms.
  • Participate in HR/HSE/QA audits and company events.

Job description

The Senior HR Generalist aids with and facilitates the human resources processes at all business locations, including support on all HR, Benefit & Personnel administration. Assists personnel in absence of HR Manager with HR & Benefit questions. Provides support to supervisors and managers regarding personnel matters.

Responsibilities:
  • Handle sensitive investigations, workplace conflicts, performance management escalations, and high-risk terminations with discretion and expertise.
  • Coordinate visas, work permits, travel, and housing support for expatriates and their families.
  • Manage specialized packages including housing allowances, cost-of-living adjustments, tax equalization, and health insurance.
  • Lead senior-level recruitment processes, develop sourcing strategies, and manage complex hiring decisions including offer negotiations.
  • Partner with senior leadership on organizational development, succession planning, change management, and strategic people initiatives.
  • Ensure adherence to employment laws, conduct compliance audits, manage EEOC matters, and mitigate employment-related risks.
  • Maintains accurate and up-to-date personnel files, records & documentation, including personnel, benefits, & I-9.
  • Administrator of benefit plans (medical insurance, vision & dental insurance); including processing employee changes in portals, reconciling monthly invoices & reporting.
  • Performs New Hire Orientation, including onboarding, facility tours, videos, introductions.
  • Manage Job Descriptions, including creating new, archiving outdated, revising when necessary.
  • Assists with employee 401(k) administration, including adding new hires, terminating separations, and updating personal data and beneficiary information. Processing 401 (k) payroll contributions into the portal.
  • Provide HR support to employees and management inquiries accurately, efficiently, and thoroughly.
  • Maintain Pathway Program for new hires and transfers.
  • Manage preemployment screenings: ordering background checks and coordinating physicals & drug tests.
  • Maintain all recruiting ads, including company website, recruiting and social media platforms.
  • Assist in all HR/HSE/QA audits in relations to personnel or training records.
  • Assist HR with all Company-related events, fundraisers, activities, etc.
Minimum Qualifications & Experience:
  • Required: High school diploma or equivalent
  • Preferred: B.S. Degree in Human Resources, or related field, or equivalent experience
  • Preferred: HR certification
  • Minimum of 5 years work experience in Human Resources administration.
  • Working understanding of human resource principles, practices, procedures and employment law.
  • Must be proficient in Microsoft Word and Excel. UKG and D365 are a plus.
  • Strong typing skills are also required.
  • Deep knowledge of visa processes, cross-cultural communication, global payroll systems.
  • Must have strong organizational skills, be able to multi-task and ability to prioritize assignments.
  • Knowledge of local, state & federal regulations
