Job description

We are seeking a highly organized, disciplined, and execution-focused Senior Executive Assistant to serve as the operational hub for our CEO. This individual will play a critical role in creating structure, maintaining accountability, coordinating priorities, and ensuring that nothing falls through the cracks in a fast-moving entrepreneurial environment.

Success in this role is not measured by how busy you stay. It is measured by how effectively you create order, maintain alignment, drive execution, and ensure that important commitments are completed.

Our Visionary, CEO and Founder is a fast-moving entrepreneurial leader, CPA firm owner, public speaker, and relationship builder who generates ideas, identifies opportunities, and often has multiple strategic initiatives moving simultaneously.

This role is ideal for a professional who gains satisfaction from organizing, managing details, coordinating moving parts, and helping others succeed through exceptional execution. They are organized backstage and confident frontstage. You will not simply manage a calendar. You will create the systems, processes, communication rhythms, accountability and discernment that allow the CEO and the organization to operate at their highest level.

The right person is dependable, methodical, resourceful, extremely organized, and capable of balancing multiple priorities without losing sight of the details that matter. This is not a role for someone seeking the spotlight. It is a role for someone who takes pride in being the steady force behind exceptional execution.

Position Summary

The Senior Executive Assistant serves as the central coordination point for the CEO's priorities, communications, projects, commitments, meetings, travel, and stakeholder interactions.

This individual ensures that information flows efficiently, commitments are tracked, priorities remain organized, and follow-through occurs consistently across multiple initiatives.

The successful candidate anticipates needs, resolves issues proactively, establishes structure around changing priorities, and ensures that both short-term tasks and long-term projects advance effectively.

This role requires sound judgment, discretion, strong organizational discipline, attention to detail, and an unwavering commitment to execution excellence.

What Success Looks Like
  • Create and maintain structure around the CEO's priorities, commitments, and responsibilities.
  • Own the full lifecycle of public-speaking engagements, including logistics, preparation, audience and VIP research, event coordination, relationship opportunities, and post -event follow-through.
  • Serve as a professional platform amplifier, identifying important people to meet, facilitating introductions, capturing business and speaking opportunities, and ensuring valuable relationships receive intentional follow-up.
  • Prepares for meetings by researching, prepping information, follow up and follow through, and providing the CEO with relevant context, options and recommendations.
  • Ensure meetings, projects, communications, and follow-up items are coordinated and completed on time.
  • Translate discussions and decisions into clear action items and accountability.
  • Proactively identify gaps, conflicts, risks, and overlooked details before they become problems.

  • Provide selective personal support, approximately 5% of the role, including scheduling, travel, reservations, personal logistics and coordination that protects the Visionary's time and capacity.
