Job Title: Senior Executive Assistant (SAP, Pharma purchase orders)

Location: Foster City, California

Work Schedule: Hybrid – In-office Tues–Thurs, with flexibility to come in on Mon/Fri as needed

About the Role:

We are looking for a highly organized and experienced Senior Executive Assistant to support executive leaders and their teams in a dynamic and fast-paced environment.

This is a hybrid role that blends traditional executive support with team coordination, onboarding, event planning, and process management.

If you're a proactive problem-solver who can anticipate needs, manage shifting priorities, and communicate clearly with all levels of an organization, we’d love to meet you.

What You’ll Do:

Manage complex calendars, schedule meetings across time zones, and coordinate travel arrangements

Oversee onboarding for new hires and contractors, including equipment requests, workspace setup, and team introductions

Process purchase orders and expense reports using the SAP system

Draft and edit documents, presentations, and reports based on raw data or manager input

Plan and coordinate team events, meetings, and other logistics

Serve as the point of contact for vendors, visitors, and cross-functional teams

Support team collaboration using tools like Microsoft Teams, Outlook, and SharePoint

Step in as backup for the department coordinator and mentor other administrative staff

Keep an eye on the big picture and help improve workflows and processes

What We’re Looking For:

Required Skills & Experience:

5–7 years of administrative experience supporting multiple leaders in a fast-paced setting

Advanced proficiency in Microsoft Office, Teams, and SharePoint

Experience handling travel, events, onboarding, and calendar management

Strong attention to detail and excellent proofreading skills

Ability to work independently with minimal supervision

Comfortable managing multiple projects and priorities

Excellent written and verbal communication skills

Experience with SAP or similar systems for processing expenses and POs

A proactive, curious mindset and ability to work well under pressure
