Job summary

Shriners Children’s in Galveston, TX is seeking an Executive Assistant to support the Director of Patient Care Services and clinical departments. You will manage calendars, arrange travel, coordinate meetings, prepare minutes, and handle confidential communications with discretion.

You will also assist with special projects and direct staff, visitors, and families to appropriate resources, maintaining professional coordination across teams.

Qualifications

• 7+ years of executive-level administrative experience or senior executive support
• Excellent communication and follow-through skills
• Exceptional organizational and office skills; familiarity with statistical analysis
• Strong computer skills; producing high-quality work with MS Office and AI
• Experience coordinating schedules and confidential communications

Responsibilities

• Answers incoming phone calls courteously and dispatches messages as needed
• Maintains filing systems for easy document retrieval
• Transcribes meeting minutes and distributes within ten working days
• Arranges travel (airline, hotel, car) as required
• Coordinates in-house meetings and manages calendar resources
• Facilitates meeting setup and catering as necessary
