Job description

Seeking an organized and experienced executive assistant with a proven record of efficiency, task management, and results orientation to support senior executives.

Skills required include email and calendar management, appointment scheduling, travel booking, internet research, and high-level administrative skills suitable for a fast-paced, dynamic executive office.

The successful candidate will be professional, discreet, resourceful, responsible, reliable, and exceptionally organized. Superior prioritization and multi-tasking skills, as well as strong writing and editing abilities, are essential.

Job Responsibilities :
  1. Answer incoming calls and check voicemail
  2. Manage email, calendar, and contacts
  3. Schedule calls and meetings and prepare materials as needed
  4. Track email correspondence and projects as directed, following up with senior staff as necessary
  5. Book and organize travel, maintaining a tracking spreadsheet
  6. Perform administrative tasks such as printing, emailing, drafting letters, proofreading, scanning, and creating Word documents and Excel spreadsheets
  7. Create and submit expense reports
  8. Maintain physical and digital filing systems
  9. Handle special projects and other tasks as assigned
Qualifications :
  1. At least five years of relevant office experience
  2. Strong organizational skills with the ability to prioritize multiple projects with excellent attention to detail
  3. Excellent writing and verbal communication skills
  4. Positive and flexible attitude
  5. Discretion in handling sensitive and confidential information
  6. Ability to work independently and collaboratively across the organization
  7. Intermediate to advanced proficiency in Microsoft Office

Location : Hybrid work model, 3 days in the San Francisco Bay area office

Annual Salary :

$31.27 - $49.13

The salary range is a general guideline. Final compensation depends on factors such as role scope, experience, education, work location, market, and business considerations.
