RPStaffing is conducting an immediate confidential search for the Temporary Administrative Coordinator for a major US nonprofit based in Washington, DC.

***Candidates must currently be living in the Washington, DC area***

Job Title: Temp Administrative Coordinator

Pay: Hourly $20-$30

Status: Temporary- likely 4 months

Weekly Schedule: 40 hours

Weekly Hybrid Status: Fully remote

Office Location: Washington, D.C.

This position will support the VP of Finance and Administration.

  • Manage VP’s calendar and schedule. Solicit and review meeting requests, prioritize appointments, and coordinate scheduling with internal and external parties. Identify and reserve meeting space and arrange off-site meeting locations. Regularly review scheduled meetings, re-evaluate priorities, and modify previous scheduled appointments to ensure there are no double-bookings and that meetings are evenly distributed.
  • Maintain VP’s communications and correspondence. Review, sort, prioritize, and, upon request, respond to VP’s emails and other forms of communication. Ensure that all necessary messages are read, tracked, and answered in a professional and timely manner, while providing excellent customer service. Maintain confidentiality related to sensitive information about staff, board members, and contractors.
  • Assist VP in multiple projects and initiatives at once by uploading key data and other information into Asana, helping to set key benchmarks and deadlines, and monitoring progress towards completion, all while keeping the VP regularly updated.
  • Plan and coordinate group meetings, including monthly Operational Leadership meetings, biannual Operational Leadership Huddles, and other important team meetings and events. Handle meeting logistics, ensure the timely development and distribution of meeting agendas in advance, and take meeting notes upon request.
  • Assist in providing administrative oversight by reviewing the monthly credit card reports of the Directors of Finance, Operations, and People & Culture, ensuring that every expense has the required documentation. Also, review and approve PTO requests at VP’s behest.
  • Other administrative tasks as requested, including but not limited to supporting search and hiring efforts, assisting with work planning, budget development, and performance management activities, and providing support to the Directors of Finance, Operations, and People & Culture upon request.

Required Qualifications

  • Strong familiarity with Google Workspace, including managing Gmail and Google Calendar.
  • Experience using systems and tools like Salesforce, Zoom, Google Suite, and Slack. Proficiency with Asana is required.
  • Ability to manage and track multiple assignments and deadlines with strong attention to detail.
  • Ability to handle sensitive and confidential information in a professional manner.
  • Comfort working with and being responsive to a highly diverse workforce, including staff who identify themselves as people of color, LGBTQ+, and disabled.

Preferred Qualifications

  • Previous experience supporting senior management positions.
  • Excellent verbal and written communication skills
  • Strong proofreading and editing skills
  • Experience providing support to project teams
