The Senior Executive Assistant will provide high-level administrative support to the CEO, managing schedules, coordinating meetings, and handling confidential matters with discretion. This role will serve as a liaison between the CEO and internal/external stakeholders, ensuring efficient communication and smooth execution of key business initiatives. The Senior Executive Assistant will also assist with project management, travel arrangements, and strategic tasks as needed.
How YOU can Make an Impact:
- CEO Support and Calendar Management: Manage the CEO's complex calendar, schedule appointments, and ensure timely follow-up on upcoming commitments. Ensure the CEO's schedule is respected and proactively plan around priorities.
- Correspondence and Communication: Compose, prepare, and manage confidential correspondence, documents, and reports for the CEO. Prioritize and handle incoming communications, responding or escalating as necessary.
- Business Planning and Meetings Coordination: Coordinate business planning meetings and ensure effective communication with internal and external stakeholders. Organize and prepare for CEO meetings, ensuring all documents and materials are ready.
- Project Management: Manage special projects for the CEO, ensuring deadlines are met, and deliverables are completed with accuracy and efficiency. Lead or assist in key initiatives that impact the organization’s strategy.
- Sensitive and Confidential Matters: Handle sensitive or confidential matters with discretion, determine appropriate actions, and refer issues as needed to ensure effective resolution.
- Proactive Follow-up and Prioritization: Prioritize conflicting needs, follow through on projects, and ensure critical aspects are completed in a timely manner, especially under tight deadlines.
- Operational Efficiency: Provide hands‑on support for critical tasks, such as drafting personal correspondence, facilitating the CEO's ability to lead the company, and ensuring team efficiency.
- Perform other related duties as assigned.
What we Ask of YOU:
This is a full‑time on‑site position in Richmond, VA, required
- Bachelor’s degree in a relevant field (e.g., Human Resources, Finance, Sales, Business Administration, Healthcare Administration, or related discipline) from an accredited institution preferred.
- Additional certifications or specialized training may be required depending on the function (e.g., Certified Human Resources Professional (PHR) for HR roles, Certified Public Accountant (CPA) for Finance roles, etc.).
- Minimum of 2-3 years of relevant experience in the specific functional area (e.g., HR, Finance, Sales, Marketing, Operations, etc.).
- Experience in healthcare, correctional healthcare, or a regulated industry is preferred.
- Demonstrated success in applying function‑specific skills (e.g., employee relations for HR, financial reporting for Finance, or sales strategy for Sales) is required.
- Knowledge of relevant industry‑specific regulations, compliance standards, and best practices may be required, particularly for roles in highly regulated functions like HR and Finance.
- Relevant industry certifications based on the role (e.g., PHR, SHRM-CP, CPA, etc.).
- Active CPR/BLS certificate required (American Heart Association/American Red Cross guideline approved), if role is located in a correctional facility.
