UNC Health is seeking an experienced administrative professional to provide executive-level support to the Heart & Vascular leadership team in Chapel Hill, NC. The role requires daily onsite presence and a track record of discretion, initiative and sound judgment in a fast-paced setting.

The position supports Vice Presidents and senior leaders, coordinates calendars, travel, meetings, and prepares materials.

  • Screens calls and mail, handles routine correspondence, and maintains confidentiality.

Summary

This position provides executive-level administrative support within UNC Health’s Heart & Vascular leadership team. The successful candidate will work closely with senior leaders in a highly visible, fast-paced environment where professionalism, discretion, responsiveness, and sound judgment are essential.

This position requires daily onsite presence to effectively support the needs of Heart & Vascular leadership and the department.

Preferred Qualifications
  • Healthcare experience is strongly preferred, particularly within a hospital, physician practice, clinical operations, or other healthcare setting.
  • Previous experience supporting Vice President-level or other senior executive leadership is preferred.
  • Experience working within a large, complex, or matrixed organization is preferred.

They demonstrate strong professional judgment, discretion, initiative, and attention to detail and are comfortable balancing multiple priorities while building effective working relationships across all levels of an organization.

Responsibilities
  • Serves as primary assistant to an Associate Vice President, Vice President, Senior Vice President, President or UNCHCS officer. Anticipates needs related to schedules and activities and provides administrative and or clerical support to fulfill perceived needs.
  • Communicates, follows up and acts as a liaison with department directors regarding project and report data due to Vice President. Ensures agenda, power point and documents for discussion are distributed in advance to meeting attendees. Prepares and distributes minutes of meetings.
  • Screens telephone calls, visitors and appointments. Provides information or refers appropriately. Opens, reads and screens mail addressed to supervisor. Responds to routine correspondence as instructed. Responds to email as instructed.
  • Schedules calendar commitments for directors and executives. Arranges meetings, conferences and travel logistics for executives and officials. Schedules high-level executives.
  • May occasionally assist VPs with directors' budget.
  • Organizes supervisor’s files (electronic and paper). Ensures materials are readily accessible and that file maintenance is current. Maintains confidentiality of information.

Education Requirements
  • High school diploma or GED required; higher-level degree may satisfy this requirement.
Licensure/Certification Requirements
  • No licensure or certification required.
Professional Experience Requirements
  • Four years of high level administrative/office management experience; preferably in support of a vice-president or president of an organization.
Knowledge/Skills/and Abilities Requirements
  • Microsoft products: Outlook, Word, Power Point, communication and computer skills, time management, technical skills, calendar management, and meeting planning
