Purpose
Reporting to the Assistant Director of Operations and Hospitality, Texas Union and Hogg Memorial Auditorium, this position is responsible for assisting with the activities related to scheduling and managing events, hiring and training student employees, along with coordinating other hospitality activities.
Responsibilities
- Meet and proactively communicate with individuals and groups from the University, including student groups and departments, and the public to plan, manage and coordinate events, functions and life celebrations in The Texas Unions and Hogg Memorial Auditorium.
- Provide guidance regarding policies, procedures, safety protocols and other complete and accurate requirements: attend events, performances and rehearsals as a representative when assigned or as needed.
- Utilize reservation software (MASEVO) and room diagramming software (Social Tables) to manage reservations and business processes
- Ensure timely responses to clients’ emails and phone calls through shared channels, and will develop and maintain positive and proactive relationships with constituents
- Ensure events are handled professionally, executed smoothly and communicated through all appropriate parties within the facility. This includes coordinating the efforts of several internal areas including catering, housekeeping, maintenance, audio/visual, building monitors and others.
- Prepare, assist with, and oversee billing processes that include creating estimates, budgets, invoices, and building-use agreements throughout the event scheduling and planning process.
- In conjunction with the Assistant Director, train and supervise a workforce comprised of students, assist in the training student staff on reservations and room diagramming software, create all necessary schedules and works requests from vendors and university services, and coordinate building operations with event needs.
- Manage on-site events: supervise load-ins, set-ups, performances, strikes, and loadouts when needed or assigned, and provide guidance regarding policies, procedures, safety protocols, and contract requirements.
- When in session, provide on-site management of Tower Tours. Provide staffing support to the Hospitality Center as needed.
- Other related duties as assigned
Required Qualifications
- Bachelor's Degree. Two years of experience planning events and productions in a multi-purpose assembly facility or theatrical performance venue.
- Highly organized with an attention to detail. Proven track record of attendance and punctuality.
- Ability to use good judgement and serve as a positive role model for student employees.
- Ability to have flexible work schedule, since Tower Tours and event demands are seasonal.
- Demonstration of the competencies regarding motivating others, planning work for others, managing conflict, managing and measuring work, and complying with policies and procedures at The University of Texas at Austin.
- Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
- Degree in events management, hospitality, business administration, or performing arts administration.
- Experience in event planning in a higher education environment.
- Experience advising students and student groups regarding events. Knowledge of operations and maintenance as it applies to event management and of theatrical/events systems.
- Experience using professional scheduling and room diagramming software. Supervisory experience.
- Experience preparing estimates and monitoring budgets. Excellent verbal and written communication skills.
- Demonstrated positive attitude, flexibility with working assignments, and a willingness to learn and adapt.
- Directly related experience at The University of Texas at Austin. Experience directly related to essential functions listed. Ability to speak Spanish.
Salary Range
$60,000
Work Shift:
This is an on-site position – Wednesday- Sunday, 10:00am to 7:00pm. Schedule will change during intersession and summer, and as required by event schedules.
