Job summary

Access is seeking a Senior Events Associate in the San Antonio area to bring unforgettable experiences to life. You will support Event Managers on larger programs while independently handling smaller-scale events, coordinating logistics, vendors, budgets, client communications, and on-site execution.

You will build relationships with clients and venues, manage program financials, and maintain vendor data in Salesforce, balancing priorities and mitigating risks to ensure program success.

Qualifications

• Experience in events, hospitality, destination management, or related field.
• Experience coordinating event logistics, vendors, venues, and on-site execution.
• Strong organizational skills with the ability to manage multiple programs and deadlines.
• Excellent communication and client service skills.
• Comfortable managing budgets, expenses, and program documentation.
• Proactive problem-solving skills and adaptability to changing priorities.
• Strong attention to detail and follow-through.
• Experience with Salesforce or similar platforms.

Responsibilities

• Independently manage smaller-scale programs, including logistics, vendors, budgets, client communications, and on-site execution.
• Support Event Managers with planning and execution of larger programs across multiple markets.
• Create and manage key event materials, including Program Briefs, Manifests, signage, checklists, and client deliverables.
• Source and coordinate vendors, venues, and event staff while ensuring program and compliance requirements are met.
• Build strong relationships with clients, hotel partners, venues, and preferred vendors.
• Manage program financials, including Scopes of Work, deposits, expenses, reconciliation, and final invoicing.
• Maintain accurate program and vendor information in Salesforce and other internal systems.
• Balance multiple programs and shifting priorities while proactively identifying potential risks and solutions.
• Collaborate across teams to ensure program details, timelines, and client expectations are met.
• Support and guide Event Associates during program preparation, logistics, and on-site execution.
