Job description

Primary Function: This position is responsible for conducting official evaluations of undergraduate and graduate student records. The incumbent will provide guidance and leadership to Evaluation Specialists and conduct quality checks on complete evaluations.

Essential Functions:

  • Provides guidance and leadership to Evaluation Specialists on process and procedures.
  • Assists Evaluation Specialist with complex Transfer Credit Evaluations (TCE).
  • Conducts regular reviews of completed TCE for accuracy.
  • Conducts official review of student transcripts, certifications, and tests (CLEP, DSST) to determine the accurate amount of transfer credits applied toward a University Degree.
  • Receives regular inquires and requests via telephone and e-mail from internal and external customers. Responds, investigates and/or resolves inquires and issues or escalated to appropriate vendor or person to be resolved.
  • Inputs and maintains data in multiple University systems while ensuring timely and accurate information for use by functional areas.
  • Reviews other institution’s course catalogs to determine course equivalencies and enter course information and equivalencies into Campus Solutions.
  • Reviews student evaluations to determine if degree requirements have been satisfied and send student file for graduation final audit.
  • Conducts official review of all student record data, academic transcripts, and advisement report to determine if requirements are met to perform graduation final audit and conferral of students’ undergraduate or graduate degrees.
  • Reviews substitution/waiver requests to determine if coursework will transfer to the student’s advisement report and update the report when appropriate.
  • Reviews student transcripts to determine if admittance or graduate degree requirements can be waived and notifies Admissions Counselors and/or Academic Advisors of completed degree plans.
  • Protects and maintains confidentiality of student academic information and personal identifiable information in accordance with the Family Education Rights and Privacy Act.
  • Provides quality assurance checks on completed TCEs and TCEs completed by Evaluation Specialists in training.
  • Reviews and updates the advisement report when official transcripts are received after initial official transfer credit evaluation has been completed.
  • Conducts accurate transcript evaluations for both undergraduate and graduate Admissions Counselors in compliance with BellevueUniversity transfer practices and policies, articulation and transfer agreements to develop Preliminary Transfer Credit Evaluations (PTCE).
  • Researches various reports, including unofficial or official transcripts, grade reports, exam reports, mark sheets, certificates diplomas, degrees, etc. from other academic institutions.
  • Works with various sources and departments, including Admissions Counselors, Registrars office, course descriptions, reference materials, conversion charts, etc., to ensure evaluations are accurate and consistent.
  • Notifies relevant departments (Financial Aid, Admissions) via CRM that student’s PTCE and TCE is complete.
  • Coordinates with other colleges and universities to verify information for PTCE and TCE.

Marginal Duties and Responsibilities:

  • Performs other duties as assigned.

Qualifications/Skills:

  • High school diploma or equivalent required.
  • Minimum of three (3) years of experience within an educational environment required. Preferably in a Registrar’s Office or student records area.
  • Strong attention to detail, good organizational skills with the ability to ensure accurate work.
  • Demonstrated investigative ability
  • Must be flexible and able to work in a fast-paced environment and handle multiple tasks simultaneously.
  • Strong customer service orientation with excellent verbal, written and interpersonal communication skills is required.
  • Intermediate proficiency in PeopleSoft Campus Solutions and CRM
  • Ability to work independently, but as part of team concept.
  • Demonstrated proficiency in using Microsoft XP and Office software programs, with intermediate skills in Excel and database systems required.
  • Must be able to maintain a high degree of confidentiality.

Working Conditions:

  • Works in a normal office environment.
