Job Summary:

Supports seamless administrative operations by proactively managing moderately complex schedules, communications, and logistics to enable leaders and colleagues to focus on strategic priorities. Anticipates needs and resolves advanced administrative challenges, ensuring a high level of accuracy, confidentiality, and professionalism in all interactions. Drives continuous improvement by identifying opportunities to optimize administrative workflows and implementing leading practices. Optimizes business support processes and establishes leading practices for administrative operations, ensuring alignment with organizational standards and strategic objectives. Maximizes team effectiveness by proactively identifying emerging and reviewing forward-thinking solutions to remove barriers and drive continuous improvement.

Key Responsibilities:
  • Manages sensitive information and correspondence with discretion, maintaining confidentiality and professionalism at all times.
  • Coordinates moderately complex tasks including calendars, meetings, and travel arrangements, ensuring efficient use of time and resources.
  • Prepares, reviews and edits standard and non-standard documents, presentations, and reports to support business operations and leadership needs.
  • Liaises with internal and external stakeholders to facilitate effective communication and timely follow-up on action items.
  • Oversees maintenance and organization of filing systems, both electronic and physical, to ensure accurate recordkeeping and easy retrieval of information.
  • Monitors and reconciles expense reports and departmental budgets, identifying discrepancies, and ensuring compliance with organizational policies.
  • Supports onboarding and training of new administrative team members, sharing knowledge and leading practices.
Education Qualifications:

High School Diploma/GED or equivalent experience required.

Work Experience:

4 - 6 years of experience in administrative support or a related field required.

Certifications and Licenses:

Certified Administrative Professional (CAP) certification preferred.

Salary:

Anticipated starting pay range: $48.00- $53.00
