Job summary

UT Southwestern Medical Center in Dallas seeks an Assistant Director of Student Events to lead planning and execution of large-scale programs for the four schools. You will oversee staff and contractors, coordinate with university departments, and manage ceremonies and related communications.

You will also coordinate with senior leadership and external vendors to ensure high-quality events, while supporting the director of Student Life and participating in ongoing event planning initiatives.

Qualifications

• Bachelor’s Degree in Business or a related field is required.
• 6 years of experience in event planning and experience working with complex budgets, preparing financial spreadsheets, and tracking expenditures.

Responsibilities

• Plan and implement all aspects of large-scale programs and events for the four schools of UT Southwestern Medical Center.
• Manage staff and contractors; collaborate with University departments to ensure high-profile events are successful.
• Coordinate commencement and white coat ceremonies, including student/guest management, program coordination, materials, music, and multimedia services.
• Develop and manage communication plans for commencements and other events for four schools, ensuring timely dissemination of information to faculty, staff, students, parents and external audiences.
• Liaise with the Office of the President, Provost, Communications and Public Affairs, deans, and committees on student events.
• Work with internal and external service providers (catering, print, design, venues, photography) to ensure best value and top service for ceremonies and events.
• Participate in planning committees for recurring events like orientations, United to Serve, Second Look Weekend and similar student programs.
• Support and act as backup for the director of Student Life.
