Senior Contracts Associate
Overview
Provide administrative support to the Contracts Manager and specialists to maintain office functions at the Applied Research Laboratories.

Responsibilities
- Process grant and contract awards, modifications, and deobligations using the IRIS and UTRMS systems, ensuring accurate recording of funding and distribution of award notifications.
- Maintain files on current agreements and related documents.
- Communicate with awards management to set up new accounts and distribute sub‑accounts to laboratories.
- Run monthly patent report lists in IRIS for review by the Grants and Contracts Manager and distribute to sponsors.
- Perform administrative duties including purchase orders, reimbursements, and submission of work requests.
- Retrieve awards and modifications from the Procurement Integrated Enterprise Environment database and distribute for review by specialists.
- Coordinate close‑out requirements with laboratories and the Office of Naval Research, recording project deliverables in IRIS.
- Update proprietary Excel documents for awards, applying advanced Excel skills.
- Execute other functions as assigned.
Required Qualifications
- High School Diploma or GED.
- Seven years of related administrative experience.
- Excellent interpersonal and professional demeanor.
- Excellent written and oral communication skills.
- Ability to work successfully under deadline pressure.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint).
- Relevant education and experience may be substituted as appropriate.
- US Citizenship; applicant must be subject to a government security investigation and meet eligibility requirements for classified information access.
Preferred Qualifications
- Bachelor’s degree and at least 3 years of experience, including one year at an administrative assistant or associate level.
- Experience maintaining research grant accounts.
- Experience preparing and processing research grant and/or contract proposals.
- Demonstrated ability with web-based data management systems.
- Familiarity with University of Texas at Austin faculty research practices, including relevant offices such as the Office of Sponsored Projects and the Office of Research Support and Compliance.

Salary Range
$52,000–$58,000+ (negotiable depending on qualifications).
